Naturally, my guest now is julia bonem she is principal of career change for good, an executive coaching firm dedicated to helping corporate executives transition into the non-profit sector and non-profit professionals move up when she started her consultancy two years ago, julia had twenty four years of experience in non-profit development, very pleased that her practice brings her into the studio. Julia welcome. Thank you. Thank you for having me today. Telefund have you, um, what? So what’s a yurt top idea for making the transition from something corporate into a job in non-profit well, it’s very important, tony, to be very committed to a mission or two. Obviously, if we’re interested in animal rights, for example, or women and children’s welfare to really have that nailed down, we don’t want to have sixteen interests when we go out into the market. Although we may have those or the or the standard, i’ll do anything i just want to, i just want to give back really, really very unfocused and really, really difficult in the market right now, the market is a very crowded place it’s very noisy when people tell me when i’m coaching them that they’re open when they initially start with mayor, we have our initial consultation that is fine, but in terms of getting out there and branding, it is really important in the networking in the written and oral communications that they have a very specific focus. The second part of that is in addition to being really committed when we speak to one, two, three missions that they have some form of non-profit experience it’s very common when i’m seeing career changers that they have not everybody but that ah, good, a goodly number of them have corporate experience have transferrable skills, but you can, you know, jump up and down about a mission, but unless you’ve done specific volunteerism and i can talk a little bit more about project work, get into the project work it’s very hard for an employer in this market to think about bringing somebody on board that doesn’t really have an understanding of how non-profits work, okay, before we get into the volunteering and proving your commitment, are there sectors in the corporate side that air that seem like you’re? Finding more people from particular sectors that particular careers within corporate that want to make the move to non-profits than than others. Well, as many of us know and it’s been in the news, the law field attorneys are particularly exp burian sing a lot of turmoil right now with the downsizing of firms and even in house ah, loitering within corporations and so a lot of attorneys air looking to use their very fine, in many cases writing skills and analytical skills to transfer over into non-profit other development work and other parts of non-profit besides attorneys, well, there’s a lot of downsizing as we know in corporate america, particularly on the financial side. And so some of those people are looking to move over with their financial skills with their spread sheet and, you know, cfo skills into non-profits that khun use them on the cfo ceo side. So you said a lot of people initially are open, which is good how can someone focus on one or two non-profit commissions? Well, what i do with people is really start to drill down on what their interest areas are and come up with targets, so as i said, before we don’t wanna have a plethora of targets, we want to have one, but how do you two three figure out what? So we we very often people are able to figure out the missions that they’re interested. And so, as i said before, animal rights children, women’s welfare could already could be charities that they already give two absolutely where volunteering usually people have a very clear idea about which missions motivate them. The mutt most the second piece is what size organization they want to work in, and that could be a cultural preference. I like working in a small entrepreneurial startup, or it could be a cultural preference for a larger, generally more specific job functions that come from working in a major university or hospital, so stewardship or major gifts or an in house attorney, which not all non-profits have and or, you know, a cfo type position as opposed to cfo and operations. The third part of the target, which is usually harder for people, is what function they want to perform so often people know that they want to get into fund-raising or they know they want to get into the law side. But they’re not quite sure they may have been an attorney in other cases in a law firm, but they’re tired of practicing law so they don’t know that they want to transfer their skills but not their job title sabat attorney or general, exactly, and that’s where the hardest work comes in. All right, well, let’s talk, we just have about two minutes before break let’s introduce this idea of the volunteering being specific in your in your volunteer work very, very important, and i don’t want a privilege any type of volunteerism over another. All volunteerism is important in their sector as we know, but if we want to get into a new field it’s important also volunteer strategically. So again, if i’m interested in health care, i might go to my local hospital or hospital that has been particularly helpful to somebody in my family or myself, um, rather than a specific disease foundation necessarily where those skills will be transferable, as opposed to another subject matter broker and then in addition, project management skills are very important, so we really want to dig down in the volunteerism and be able to say ana resumes at the top of our resumes, by the way, and i think we’ll get into branding a little bit more later. What are the project skills within those specific areas that i was able to get my hands into and show achievements in? We’re gonna take a break right now. We’re talking about charity transition with julia bonem on executive coach julia before the break you had you had were giving the example of strategic volunteering, and you said, if you’re interested in health care, it might be a preference for volunteering in a hospital setting versus one of the maybe maybe one of the medical causes. Why did you make that distinction? Well, it really depends on the person, but some of the medical causes air very specific, and again, i don’t want a privilege one type of volunteerism over another, but if you have a more general interest in health care or if there’s a hospital that’s particularly speaks to you or your family because they’ve been helpful to you in your particular circumstance, that might be a more logical place for you to volunteer than, say, a disease related, you know, foundation, clearly you need to spend time at an organization that’s meaningful to you get something out of it, you’re going to get great project work-life we’ll talk about it, perhaps not just do something because it seems good, absolutely, like it seems good for the resume is what i mean absolutely so it’s it’s a mix of both you can’t on ly be committed to the mission and expect an employer because we’re really talking about as being it’s attractive to the employer is possible in addition to serving your heart without that mission speaking to you. In addition, teo, being strategic and your volunteers is, um, from a skills and project point of view. Now this volunteering doesn’t have to be on a board that could be aboard, but if they have an opening on, if they have a need for someone like you but doesn’t have to be bored, volunteering doesn’t as long as you’re able to get that project work where you can show some specific achievements. For example, very often, when people are interested in higher education or in education in general, i counsel them to reach back, for example, to their independent school or if they went to an independent school or to their college in order to do class fund-raising, for example, or class organizing or writing for the college, these air skills that are going to be immediately picked up on because they want to involve their alumni and they want to, you know, get that extra volunteerism. Onboard and its project work really important, right? You’re stressing the importance of project work, not just sort of showing up and stuffing thiss type of so you you need to be vocal when you’re volunteering about the types of things that type of work that you want to be doing? Absolutely, you know, there may not be that opportunity right away, but as you get into your tenure and i hope people you know, develop a tenure where they are volunteering, they can’t approach people for project work if they can’t get it right away, because they’ve, you know, made their inroads, they’ve made their networking there, they’ve done their networking there, and they’re able to reach out at a certain point when the timing is right. Okay, so let’s, talk a little about the branding of yourself, and this is this will start to apply to people who are within non-profits already capsule and want to make it just a job change, not a not a career change. Obviously the resume is critical. What of the other tools that we’re branding ourselves with? Well, the resume is critical if i could just go back for second because we want to get the non-profit volunteerism if we haven’t worked in a non-profit before at the top of the resume and their ways to do that a lot of times, it’s buried at the bottom, particularly for career changes because they’ve been using a certain resume and corporate that they’re not, you know, necessarily knowledgeable about how to translate that into a non-profit setting. So how do we get that upfront instead of, like you’re saying community activities way down at the at the bottom? Well, we can have a section called non-profit experience a top with there description of what they’ve been doing, but more importantly, the achievements that they’ve had in their project work, and then we can have a section called other corporate experience. I prefer other because it’s sort of de emphasizes in heading what they’ve done by highlighting it as corporate as opposed to other experience that might be transferrable. Okay, on the other parts of brandon and their three other parts of branding are the aural pitch, which is so important, then goes back to what we spoke about at the beginning of the program in terms of targets, so we want to be able to say very specifically and it’s very much like a business pitch for those of us who have mbas air transferring over from corporate sector or raising venture capital, for example, who we are, what we’ve accomplished with some specific examples to examples, preferably what we want to do next. And this is the most difficult part are unique value proposition. Okay, let’s, let’s. Come back to the aural pitch and the details let’s just lay out what? What? What are branding methods are right now? Well, that’s one of them on paper, we also want to have well online. We also want to have in written form. Arlington on arlington needs to have the key words in that very important real estate right below our name what we want to do, it doesn’t necessarily have to reflect what we’re doing right now. So i have somebody, for example, who is not a director of operations right now but has director operations, you know, analytical skills, strong writing, for example, and then they can echo those within the linked in profile in the summary and specialty section. The idea is to try and be found, if you will, by people that are interested in your background as employers and as recruiters to a certain extent, which we’ll talk about later and also anywhere you’re going to be talking to somebody, either in a networking context, networking with hiring managers or for a job interview, you’re going to be checked out on the web and so it’s going to be a regular google check and also on linked in check, and people want to see what you’re about, whether you’re going to fit in based on your experience and based on the way you present yourself, okay? And there’s there’s one more tool that we need to have, right? Yeah, business card. The business card is really important, and that also has two echo what is being said under that real estate onto your name, if you will and at the top of your resume. Okay, so this is you shouldn’t be giving out for job search purposes. Career change purposes. The business card of your current employment. Well, you can on some people feel uncomfortable carrying a second card, but what i would say is optimal is to carry a second card that has more than just your name. Your email address your linked in and your phone number, which is very important, but also those keywords about what you were looking for, what you’ve done in the past so fund-raising professional major gifts, an annual giving or attorney non-profit expertise, okay? And what if you’re making the career change? What then? It should echo what your linkedin says about what you’re aspiring to absolutely aspiring is okay, we don’t necessarily have to make a ha one hundred percent history of what we’ve done on the business card. We can position ourselves because it’s all about marketing, positioning, ok, so we have the resume, the aural pitch linked in profile and and your business card absolutely what’s another. I think people get hung up on the reservation. I would ask you what what’s, another piece of advice for the resume. Just a really succinct profile about what you want to do, what you’ve done, what your core competencies are at the top. In addition to the experience that we talked about in the non-profit and other sections with quantifiable project work numbers, people get caught up on sometimes not having numbers. Numbers don’t have to be dollar signs, although that is important if you have them also know if you if you coordinate events or or you’re an events professional or you aspire to be an events professional, how many events did you do in a year? How many people attended? How many people volunteers? Did you organize anything that helps in in the quantification of what you think she knows where all those important outcomes that you mentioned earlier? Absolutely what’s your advice on length of resume two pages this fine in the non-profit setting some career changers get let’s unless these days, but particularly people who have been on wall street in the financial sector that’s a demand often that they be on one page in their own profession. I think that you, if you have, if you’re out ten years, say even five you can go to a page and a half ten, i would say more like two three is excessive, i think in this market, ok, even for someone who’s got maybe twenty years, twenty five years experience, and they’re looking to make the change. Often those people will do a summary bio on a separate sheet of paper that they can submit if the employer’s interested, but certainly for first queries. I think that two pages is is the limit. Um, i mean, i could do my life in two paragraphs. One has three sentences. So concise is good. Absolutely achieved. Very little. It’s. Easy for me to convey. Convey what i have done. Well, it goes back to the marketplace. It’s. A very crowded marketplace. They say that on average and employer will look at your resume for ten seconds and you have to be able to capture in in six thickness and often in bullet points, which i really like. Ah, a clear and concise message. Okay, let’s, talk a little more about linked in. You gave a little tease about what should be on linked in profile. That important, that important real estate right below the name. Because that’s going to be seen right after what else around lincoln? I like summaries that are in the first person. I think very often when you kind of talked about here in the third person people trying to sound academic or, you know, smart tony martignetti was this and that i right? Yeah. It’s just i bring people in, and that goes. To the photo as well. The photo you want a snapshot, you don’t have to look like you know it’s a studio, you know, perfect portrait, but just to bring people in, a lot of people don’t have photos. A lot of people have very casual photos, and i like something that brings you in both the language and the visual, and then the summary section is really important to position yourself again. This is the section this’s, the narrative where you write your own paragraph, not where each job appears. Supper absolutely, that is the central summary. Go ahead, exactly. So you want to talk about your achievements again? I’m really harping achievements because they’re really important, and then you want to position yourself as you do in the oral pitch, as you do, you know, hopefully at the top of your resume about what you’re looking for and why you as opposed to anybody else in the market and those might be specific degrees that you have. It might be that you lived abroad. It might be any number of things that you bring to the project experience to the market that others may not replicate in the same way, then, on the specialties section i really like and i like a list of what you’ve done proposal writing, if you’re an attorney and this is where you would bring in your project, work from the volunteering absolutely, but in the skills and it’s called out a special specialties is it’s called that on link toga there’s, a relatively new section as well. I won’t call it new new, maybe a year to old called volunteer experiences and causes where you want to really bring that up front above, often depending on how comfortable you feel about and how involved you’ve been above the work experience. Okay? Oh, and you can move the sections around sections around now. Oh, i don’t know if people know do you know how to do that specifically? Go into the edit section where you work iss and you can bring that up? I believe i don’t know the specific, okay, but there is a way to change is a sequencing. This sequencing is really important, and then the skills come in again, where you can choose specific name tags for what you’ve done and those air also searchable by potential employers and colleagues okay, so oh, god and then groups is really important. You can choose up to fifty groups and linked in. I don’t know that you want all the e mails that come from that, but you could do daily or weekly. Jj, i just repeated change your preferences for each for each group individually you can have. So if one group is really important to you, you can get daily emails, others less important. Get weekly digests absolutely and it’s really important to start contributing selectively. I mean, you don’t want to spam everybody but as a thought leader in some of those groups, so i’m a career coach. I may want to go to one of the groups that i belong to non-profit transitions, for example, non-profit boards and start talking about some of these issues, and people will often do in lincoln in in messages to me as a result of those postings where they post questions and we start to develop a relationship. Okay, we spent a good amount of time on linked him, but it’s one of the four important tools and for people who don’t have it, they obviously need to have it they need to have it also, tony, because we need to develop over one hundred connections often we want ends to certain organizations were applying tio we’re interested in certain organizations learning more about them. It’s very difficult if you don’t have a broad network either online or offline or both to find people that can make the introductions for you into the organizations and for the opportunity, believe it or not, we have just ah committed a half or so left let’s talk a little about networking because that’s critical and we’ve been talking about online networking what’s your advice around face-to-face networking. Well, first, we want to look into who is within our immediate network family, friends, people that we know on board spouses of those people who are on boards. A second piece are events, and i counsel people to go to at least one of them a week from their alma mater, possibly in an industry specific event, so it could be the support center for non-profit management, women in development, association of fund-raising professionals, junior league sponsors a lot of events cope if you’re interested in events specifically event organizing council on protocol executives, that’s group okay, okay, and then we want to start to tap into the hidden job market where we actually list out organizations that were interested in and use linked in and other connections to try and find the hiring managers within those organizations and take meetings with them. The hiring managers not just that’s, not the hr people. This is the manager who’s your you’ll be working for at a sylar grantwriting hopefully working for starting out with a networking relationship that you hopefully keep up over time, and when an opportunity becomes available either within their organization or another one, they have a positive impression of you and are able to either hyre you refer you to that opportunity, we have to stop there. Interested simply email at info at talking alternative dot com welcome back, it’s, time for tony’s take two at roughly thirty two minutes into the hour in april, i had a block post called it’s planned giving, not product e-giving and i wanted to make people aware that there are some financial advisors who sell products like life insurance and annuities, and often they want to offer their help to your plans e-giving program. But often your program is not their first interest. Their first interest is earning commissions on the financial products that they sell and it’s amazing how when you talk to them, their best solution for your plan to giving program is just happens to be the product that they sell. This does not apply to all financial well, never financial advisors, but all people who sell financial products. I in fact, when i do seminars for clients, i routinely include somebody who is a life insurance broker, but the person that i use understands the role of life insurance in a broader plan to giving program, and there are people who cellphone ansel products who don’t recognize that, and they just think that the basis of your programme, as i said, should be the products that they sell. So you just want to be aware of self interest among some people who are offering to help your plan e-giving program? Do they have your plan e-giving program and your donors as their first interest? Or is there something else going on? Thanks so much for having me back, tony. My pleasure. As always, we’re talking about go off line. There are things it sze hard for me to believe that there are actually places that people can go for prospect research and they’re not on the web, is this actually a truth? It is it is absolutely so you know, i i was thinking about this because i do a lot of networking, and sometimes i will see non-profit executives attending, and it seems as though it’s definitely more than smaller to midsize non-profit so that would be your audience of listeners. Tony and i was thinking about how someone who might be an executive director or a development director who is looking to do some more prospect research, whether they’re doing reactive or pro active research, and we’ve talked about that in the past couple times where you may have certain people you’re looking to gain more information on or you’re looking to just get more individuals aware of the great mission of your non profit organization and therefore spread the message, and hopefully they get engaged and become donors. So i was thinking about some of those offline activities and thought we might concentrate on that for this particular segment. Yeah, sounds good, let’s see? So when they were talking about shops where there isn’t a devoted prospect researcher and maybe, you know, i think later on we may we may bring in those shops where there is a devoted prospect researcher, because there are things that they could be doing also that are not online, so we’ll get to that. But the board is for smaller shops, the board is a good place to start. Is that right? The board is a great place to start, so if they really understand how, how, just constantly keeping their antenna up, for example, when they’re out and about in the community, doing other community service or in their business world if they’re able to just i kind of know what to listen for in terms of engaging more people for your non-profit working okay on dh, what are we asking? Boardmember is to listen for what specifically what instructions should we be giving them? So i think it be great to give them instructions. First of all, they need to be very clear and understand everything that your own organization does, so that when they’re out engaging with people and they’re having a conversation and letting people know that they serve on a specific board on, and they should be very proud of that their ambassadors for your organization and then they engage in a conversation, you know, let’s say you they are a boardmember for a local why? And they happen to be talking about something, some aspect of the children’s programming, and if they happen to notice that that seems to really catch the attention of the person that they’re speaking with it’s definitely an opportunity to engage them further, invite them in for a tour. Uh, maybe invite them to an upcoming cultivation event or gala event or something like that indefinitely on opportunity, a door has been opened really for you to get more information and engaged that person further. My first guest today, julia bonem talked about for people changing jobs, having an aural pitch should should board members have something similar? You know, the elevator pitch, you know, that would probably be great, of course, when they’re out and about and networking there, they’re thinking about their own elevator pitch, but certainly they should have a very concise the description of what the organization does in such a way that it’s not going to bore the person to tears, that’s listening to them, but certainly will make the person se gi tell me more about that organization sounds fascinating. So, yeah, that’d be great, you know, speak. Speaking of other guests that you’ve had on your show, tony, you had someone on on april twentieth who was from morgan stanley, her name melanie dellaccio burghdoff schnoll begun begun, and she talked about something called radical list. Elearning and that really kind of piqued my interest because that’s, exactly what we’re talking about here is radical listening, so moving the donor or the prospective donor and really at some point that will help you to form a valuable proposal. So she talked about the aspect of putting on your listening ears. I’m putting some information out there and waiting for that reaction. So in terms of prospect research and you’re out and about in the community and doing your offline activities, as i call it it’s important to really put those listening ears on and and understand what the person is communicating to you and then all importantly, making sure that you go back and capture that information in some sort of a call report. Uh uh, maybe create a new donor record in your donorsearch off where a donor prospect and capture any important pieces. Of information you’ve gleaned from that conversation. Okay, we’re going to talk about the coal reports shortly thiss doesn’t stop with just the like the fund-raising or development committee that this should be the full board, i think no, i think it should be the full board. Certainly the fund-raising or development committee is most focused on fund-raising but really, the entire board has a fiduciary sponsor ability to the organization and the full board. They’re all ambassadors, and they are they are all every one of them ambassadors. So, you know, there are plenty of ways to get them up to speed on the fact that even though they may not be totally comfortable in being the person asking for money, there are certainly a lot of other points along the development, a cycle that they can be very helpful for they can host cultivation events, they can invite people to those events, they could certainly get involved in thanking people in stewarding people, and every one of those points along that development spectrum is an opportunity for the boardmember to engage people, to again be an ambassador for your organization and gathered valuable, valuable information that we probably will not find online. Yeah, i blogged about this at one point where saying that you’re your your best prospect research and of course i’m not a prospect researcher, but i believed that i still believe that you’re best prospect research comes from face-to-face meetings on, in fact, that was just happen to have it here it was called best prospect research comes from the prospect on dh that was blood that in july two thousand ten, right? I had an opportunity to review that because i wanted to make sure you want to make sure that i i covered, you know, any of the points that you brought across in that, and they were all excellent point, you know, i like the way you talk about really, you know, sitting down over some sort of a meal if it can’t be a complete meal, obviously, you know, you can meet for a cup of coffee or something like that, but there’s, really, you’re you’re right, tony there’s something about sitting down across the table from somebody and in a more relaxed atmosphere, as opposed to a planned meeting in an office or something, which then feels very much like a business meeting i like, i like that you’re you know, you’re sharing a physical space, you’re probably not sharing the food because you don’t know the person that well, but you’re sharing a physical space and there aren’t going to be interruptions by assistance and other people coming in or calling the office. Of course, people do have cell phones, but usually they’re polite enough to turn those off or at least not take the call when it comes through. The thing i like about meetings over a meal is everybody understands the flow, you know, we have a general idea when the server is going to come and bring water, and then when they’re goingto take the order and roughly when the food is going to come and, you know, this sort of there’s a flow that everybody understands, but when you’re in someone’s office, the flow is totally under their control, and i like a more neutral, uh, space that everybody understands the timing of right, and i think that people then will open up a little bit more, you know? They most people tend to live to talk about themselves and their family, so it’s definitely. An opportunity for you as putting on your prospect research had, if you will, to gather more information on those missing puzzle pieces that you perhaps did not readily have available in internet databases very often information about a spouse and about their children. Those are usually harder pieces of information to find on the internet unless there’s been really great biographical articles written on that person already, which is more a rarity than not know. So in a one hour meeting, you can learn a lot that could take you very much longer than that to find out on the web, and then you might not even find it right like that radical listening? Yeah, just, you know, and so they’re like i said there’s that point along the continuum of fund-raising cycle that doesn’t involve the actual ass. So gathering that information and and understanding what pieces you may have missing from your your prospect research report or your donor file is definitely important as well. Let’s go back to directly to the board there’s another way that they could be involved formally, which is, and i’ve talked about it on the show, having them screen lists of people like peer reviews, absolutely what? How does that take shape was that you would want to make sure, first of all, that everybody understands they’re coming to this meeting, this gathering and that, and that should be done really in a private office space, not in a public space. So you want to have that, as, you know, a focus meeting on doing a a peer review session or prospect review session, they’re coming. Ideally, you should be coming to the table with list of prospective donors that you’re hoping to gleam or information about these air prospects and maybe even just suspects and maybe even just suspects want to explain what a suspect is. People may not know the difference well, so that might be somebody who you’ve heard about in the community. They happen to be engaged with other non-profits do similar type of work to yours. Sametz you think that they may be wealthy, but you want to kind of have an idea before you start delving too far along into this, you know, prospect research process, so maybe they actually know them and can give you some additional information, right? But at this point a suspect, you know very little about you just have those beliefs that you described on dh opinions about what they might be interested in, right? Exactly. Okay, so so how does this peer review screening worked then of the other board? So ideally, if you couldn’t bring some names to the table for people to look at whatever you might already know, some very basic information about the individuals where they reside, where they work, um, and again, this is all very confidential, and i also recommend that anything that you do print out in these reports on dh circulate amongst the committee members stays in that room. It does not leave, so i’m very sensitive to trying to keep information all as confidential as possible don’t let people take take the list home with them or email it to people who can’t make the meeting shouldn’t do that. Well, if you have some sort of a secure, more secure email system, you know something that would allow you teo securely share the information? Yes, you could do it that way. The person can’t make the meeting, but the best feedback is really going to come when they have that. Interplay amongst each other and, you know, saying, oh, yeah, i’ve heard about that person and, you know, i happen to know a lot about their business or their very new to the community, and i know they have a wife and two young children, so it may spur on additional thoughts and conversations that simply won’t take place if you just female out a list and say, let me have your feedback on this, you know, um, let’s talk about family foundations for a minute because i find that when non-profits are really looking to expand, uh, their donor full and get proactive about getting more names in the pipeline, i usually tell them what focus on some family foundations in the community because these are people that have taken philanthropy to a new level, have gone the step of creating their own family foundation. So let’s, take a look at these families and see if they might be suitable prospects for us so you can use something as simple as guide star most non-profits will have access to their premium level service for free so you can actually do this type of research, come up with names of family foundation’s let’s, say, in twenty five or fifty mile radius of your zip code and then bring those names to the table, along with the trusty names affiliated with each foundation. So it’s an opportunity for you to walk into a development committee or a board meeting or a peer review session and say, my research has shown that we have one hundred and fifty family foundations in our nearby communities, that we serve here’s, a list of them here, the trustees. Welcome back, come with maria simple, the prospect finder, but let’s talk a little about the importance of call reports capturing this information that that we find in our face to face meetings or just everything is not a meeting, just a chance running into somebody. Yes, absolutely. So a call report would be something that we see ideal to have every executive director development director boardmember prepare after they’ve had it sit down meeting with someone or perhaps even a phone conversation with someone so it’s important to capture that information as quickly as possible after the conversation has taken place, there are going to be tidbits of information that you’re going to glean from that conversation about maybe some very citic aspect of your programming going back to the earlier example of the y why serves of such a wide variety of age for people right from instant and learning how to swim all the way up, tio senior citizens and programming for them. So it’s important to understand, perhaps what aspect of your programming? Maybe they really love the aspect of senior citizens getting in the pool, doing water aerobics or something like that, you know, so you can engage them further in conversation about programming for seniors, so it is important tio lather that information and capture it somewhere you’re going to forget the information. Our memories are very short and it’s important not only to gather the information for an immediate thie immediate near future of when you’re going to further cultivate and solicit that person, but also for the longevity of the organization, you know, in the fund-raising world in the nonprofit world, people move around a lot. So so what do we want to capture in these kottler force? What? What sections should there be? I think that you should be making sure you capture information again about specific programming they’re interested in general age groups. They’re interested in helping what? What are their? What are their hobbies and interests? So that might give you some idea of their level of well in terms of how they spend their free time and all the personal sort of biographical information we took with children’s children, families, what other boards do they serve on? That’ll give you so much information if you know what other boards they serve on, you’ll want to make note of that because again, where they’re serving on boards, they’re probably donating and you can sometimes find even at what levels they’re donating by tapping into specific databases or even going to the web site of that particular non-profit if they have an annual report in a pdf format on their website, you might be able to glean information about what level of e-giving they’re involved in with that particular non-profit so it’ll help you formulate and ask a little better when the time con when the time comes right and these things reports should probably probably be confidential in the office right now, but they should also be shared. They should be shared with the people that need to see the information. Okay, so first of all, the information should all be very factual. I always say to people, when you’re typing up any kind of prospect, profiles are putting information into your donor-centric self is more of an investigative reporter and state everything very factual, you know, date of divorce. If there’s been a divorce or something like that, you don’t need to say anything further about the divorce fight. What you might have heard that maybe in in public circles, you know, i’ve heard the standard that you shouldn’t put anything in a call report or really, in writing or e mails that you wouldn’t want that you’d be embarrassed if the person you’re writing about saw right, and in fact they have the right to walk into your non-profit at any time and asked to see their donor record that you do want to be very cognizant to that at all times and write your report with that i wear go ahead, we have just a couple minutes before break. Go ahead. Yeah, so yeah, just to make sure that the information that you wouldn’t be able to find elsewhere online can perhaps be gathered from any conversations you have let’s talk about, ah, hosting cultivation events for four suspects now that we’ve identified what a suspect is, and for prospects, this is another good wayto meet people and it’s it’s, not the one on one lunch, which could be a little off putting to some people, right? So cultivation events are great and there you will definitely want to have your radical listening ears on prices. So you wanna have if you have an opportunity to make sure that you engage all of your board members to have the same radical listening ears on who are attending this event that yeah, it’s a great opportunity in very often they’re held in someone’s home and so again, it’s a more relaxed atmosphere, you have an opportunity to present a sum information about your non-profit and their importantly, there’s no ask made at that event it is purely for cultivation purposes only. And if you state that the event is going to be an hour long, keep it to an hour long. You know, people’s time is very valuable, so it’s an opportunity to to fill in the blank, some missing pieces that you might have on people. Or maybe it’s the first time you’re getting any information, perhaps you’ve not done any prospect research on them at all, and meeting them at this cult patient event really kind of raises your antenna a bit to say, wow, this is someone we need to engage further and learn a lot more about you could use your board to invite people to the to the to the meeting that to the event that they might know people that they may know yeah, absolutely, absolutely. And that and that is a great way to engage your board. Okay, so you’re not asking them to ask for money. Just bring some people to the table, right? Maria, we have to leave it there. My guest now is paul connick stein. He leads mission first finance. He has over twenty years experience as a controller and chief financial officer in arts, culture, education and international development charities to include the metropolitan opera, new york hall of science, helen keller international and the american montessori society. I’m very glad that his work and his practice bring him to the show. Paul context and welcome to studio. Thank you, tony. Thank you for having me, it’s. My pleasure. Why is a budget important? Well, but it is important because it’s a road map of your organization, i mean, you won’t get in the car and just drive around aimlessly without knowing where you’re going in a generation or two ago. We used to do that, and we used to call sunday driving. You wanna be a sunday driver with your not-for-profits? You know, when gas was forty cents a gallon, that was fine. But now that gas is four dollars a gallon, we can’t afford to do that anymore. And the cost of labor and all the other things that not-for-profits purchase has risen like ass says okay, but so should we say that budget is your gps? Since maps are kind of antiquated, maybe budgeting is your gps. I’ll go along with that going okay, okay, i’m already changing the man’s. The man came with some things to say, and i’m already screwing him up. Okay, so if if this is your gps than you, you need to know where you’re headed and i know you have five steps toe building a budget knowing where you’re heading is, i think, is the first part of that, right? And where you’re heading is knowing the goals for your organization and how you plan to measure success of the organization, which hopefully have already done before you even thought about the budget. Okay, so by success, you mean the impact through the impact of the outcomes? Okay, well, okay, now. So that’s interesting. I’ve had some guests who distinguished between outcomes and impact. And like they’ll say, you know, an outcome would be a nen creased graduation rate. Maybe. But then an impact would be that person went on to find a job and be a more successful family. Ah, mother and mother and worker in a in a family. So there are some people who distinguished between outcomes and impact, right? As do i on dh you need tio have no measure ideal, you’re measuring impact, but not all organizations have evolved to where they’re capable of measuring their impact. That’s a particular challenge for arts organizations, right? So if you’re not measuring, impacted how we’re going to measure outcomes, but either one ties in the budget process because you need to know, figure out what’s going to cost to measure either of those okay, and it is it is particularly challenging for arts organizations, and you’ve worked for one metropolitan andhra. What is the what is the advice around measuring those that impact for for arts organizations? How can you help them be better at it? Well, actually, i like the way the new york hall of science measured its impact. Well, the whole of science used to do is serve a visitors before and after going into the exhibit to measure the impact of the organization. So, for example, we would build an exhibit that tries to teach about evolution. So we were designed a questionnaire with those questions about evolution and give it to visitors before and give it to after and if they’re scoring, proves that’s the impact we’ve had a measurable impact we’ve had on their knowledge of evolution arts organizations, hall of science, a sort of hybrid between art organization in the museum pure art organization like the metropolitan opera. They’re not serving their audience, they’re measuring their impact. Mohr informally based on reviews articles in the trade press, i think they have a little bit further to go to become mohr rigorous about measuring their impact directly with audience that’s the tough part surveying right, say a knopper or theatre audience as they’re on their way out, you know, that’s that’s kind of a tough thing to do, right? What would what would you base line b? Yeah, and then, of course, there’s wine at the intermission. I mean, that’s going to impact, you know, that’s gonna impact your impact assessment. So especially since the champagne at the minute is very tasty. Ok, but it’s expensive too. So maybe most of the most people are not drunk as they’re walking out. Probably. I always sneak mine like a little flask in my jacket. But let’s, see it’s these goals, so okay, we’re right step one the goals disease could be multi year could be were you thinking a couple of years in advance? Well, you have to walk before you can run, so if you already successfully doing it one year at a time, then you can do multiyear. But if you’ve never attempted this before, you need to start with one year and master that before you do multi year planning, okay, okay. And wei have just about a minute before a break. What are the things that you’re that you’re looking at it again in this? His goal setting? Well depends on the type of organization, but generally you’re looking at how many you’re looking at volume. So how many constituents are you going to serve? How many locations air you’re going to have? And then you’re looking at the outcomes you’re looking at, what do you want those constituents to achieve? So as you said before, an example could be if it’s an after school produce development program, you want them to graduate from high school or you want them to master a job skill, okay? You know where you want your organization to be after a year or maybe a couple of years if you’re if you’re involved in this process, what is the, uh, what’s the next step? Because we need to know what it’s going to take to get there. Exactly need to determine the inputs necessary to achieve those goals. Inputs. Okay, so what are what are examples of inputs? Well, for example, i worked with helen keller international. Our signature program was vitamin a supplementation. So examples of inputs would be the vitamin a capsules would be health workers who’d go to remote villagers take a baseline survey of their health. Then you come back at mr the vitamin e capsules, then come back again and to follow-up health surveys to measure how people health improved after supplementation on it would be the staff needed to oversee the program interface with the company’s ministries of health. It would be transportation. So you need to have a vehicle traveled his remote villages in to put gas in the vehicle travel expenses now, is this where you would include things like insurance for the for the employees that are traveling and ah, in case they’re injured or something? I mean, how far do we go in thinking about what the what the inputs are? Well, the first step is thinking about the inputs that are specific to the program, and then once you’ve identified those inputs for each thing that you do, then you need to think about the administrative and put such as insurance, okay? So like overhead let’s, talk about things that aren’t going to be so obvious. Sort of hidden means going to hidden expenses, right? Let’s, talk a little about those so people think, you know, in detail about what, what else might be involved, what others like hidden costs or indirect cost of things. Well, there’s the cost of your office? No that’s. Most organizations have rent or if they own the building there’s the mortgage servicing course. There’s all your office equipment, thie computers, andi all the things you do with the computers or the software you use the cost of keeping, creating your website and keeping it up. To date and your social media participation? Yeah, and i mean, they were getting into you like utilities and things. I mean, let’s, let’s, this is where we’re costing out everything. So, you know, can we just be like, looking around the office and seeing what we spend money on? We can, and if we’re not a brand new not-for-profits we could also look at what we spent money on last year, i question people against doing that against having what they spent last year be the primary determining factor in the budget for several reasons. First of all, the environment is changing more rapidly now than it ever has before. So given last year’s information is outdated. Okay, second of all, people know that you’re basing your budget off last year, those spend as much as they can so that they’re working from a bigger base. So wait say some more about that creates an incentive, right? Use it or lose it incentive. If people know that your basic budget on last year, they’re going to make sure that they spend their whole budget from last year, you know? So the budget doesn’t get cut. You see that? A lot of government. Okay, okay. And so your first reason and sounds like you have more reasons, but let’s, go back to your first one, which was things change rapidly, but couldn’t you just look at what you spent last year on an item and then apply a rate of inflation? Say three percent or something, whatever and then and then use that? Or is that not a good idea? You could ah, but you could but it’s bad. Tell me if it’s bad i mean, you’re the you’re the budgeting basic expert, you tell me. Well, there’s a role, best practices there’s no absolute right and absolute wrong. I’ll give you a good example of that. All right, i tell everyone, don’t base a budget on last year, do it by costing out your inputs for your plans for this year. But yet, just yesterday i was talking to someone who’s, executive director of a marine rescue organization on dh he was insisting to me that the only way he can do the budget is based on last year because he has no way of predicting how many’s sea turtles are going to wash up on the beach and how many dolphins air going toe beached themselves? So he has no idea how much medicine he needs to buy and so forth, and i want to push back a little on that to see if he was just like trying to take a shortcut to avoid rigorous thinking, right? So i said them, surely there must be some mathematical models that you can use, you know, the american zoological association or somebody has done research into this turtle modeling turtle modeling it’s common knowledge, i think. Yeah, so he said to me, well, yes, as a matter of fact, you know, i’m the leader in the field who’s tried to create those models, and i still haven’t figured it out yet, okay? I said, okay, well, then, i guess, you know, there’s a good example of there’s, no one size fits all to not-for-profits budgeting or not for-profit anything else? So you’ll accept that from this from the total modeling expert who hasn’t quite got it yet. Okay, um, all right, so this is i’m just trying to think of other things that people might not think of in their budget and in their budgeting in this step in this step and then they get surprised. I mean, so are their examples of other things that you see commonly that people forget. And then the bill comes or the and they get shocked examples of other things that people commonly ignore in there in there figuring of costs. Well, people commonly ignore in their budgets non-cash items elect appreciation. So okay, what? Z now on twenty martignetti non-profit radio of jargon jail on your teetering close to the entrance to the prison doors. Everybody’s not gonna know what appreciation is, so explain explained appreciation. And this will be your shot at early parole. Well, a basic concept in accounting is to try and match your revenues to your expenses view by an expensive piece of equipment. Let’s, say all the equipment that’s used to put on this radio show xero of tin cans, we have strings on their sam and he’s monitoring the length of the string. Okay, right, but they’re very expensive tin cans and strings because tens of thousands of dollars. But we’re also i expect that they’re going to last for five years. The very durable tin cans and strings. Yeah, we only by the best. Here, right. Talking, of course. So are not profit here. That sorting non-profit radio hypothetically is going to benefit from those tin cans and strings for five years. Okay, so if we put the whole ten thousand dollar cost of those tin cans and strings in the year that we buy them, then there’s a mismatch between our expense and when it benefits the organization so depreciations away that accounts came up with the try and spread out the thie expense over all five years. So that matches the time period that those tin cans of strings are benefiting us. Okay, even though we incurred the expense in your right even though we wrote the cheque for thousand dollars in year one were gonna save it last five years. There’s lots of different ways to divide up that ten thousand of the five years. But the most common one is to just divide by five and have an expensive two thousand dollars each year. Okay, okay. So, so depreciation is is an expense. Appreciation isn’t expense. So when your orders come in and give you ordered financial statements and you go oh, my god. I have a deficit. But i was so sure is going to have a surplus. My budget has surpluses. You didn’t budget for the depreciation on all the everything you bought to invest in your organization this year, i think. And since this is radio and podcast have to tell you that when paul said oh, my god, he put his hands up to his forehead is very dramatic. So it’s is definitely something to pay attention. Okay, um all right, so, that’s, you’re paroled from drug in jail for the time being. Watch what? Your step. Okay. Any examples of other things that that’s a great one depreciation. Is there another one that people commonly ignore? Bank fees, credit card processing fees? Yeah. Okay, she’s, right? We see them every month, but we ignored them as we’re planning a budget for the year. Right? We don’t. We don’t tend to think about them there, it’s. Not any thought or effort required to pay them. So we tend not to think about them. So the bank takes it automatically. So, it’s not part of our consciousness, but it’s obviously an expense of the organization. Okay, i’m gonna go further. These air, good depreciation, bank fees and other things that are commonly missed that listeners should know about. No. Ok, ok, s o i want to make sure we’re exhausted. We’ve gotten through everything that you think you see people missing commonly. Okay? Um so then now we know the inputs and i guess, well, your step three is really determining the costs, so we sort of looked at that already, you might get help from some vendors or providers, right? If you’re not able to look back, or if something is going to be new expense, you might, especially in the administrative costs, especially in categories of course, that tend not to file inflation rates such as medical insurance or other types of insurance you ask, you broker and they’re happy to tell you, you know, is the market softening this year? Is the market getting tighter and where they see premiums going on budget for the increase that they i expect? You know, if your copier is coming off leased this year in the coming year and you call up the copier salesman as long as you make it clear, then that you’re doing this for budget purposes and there’s not going to sail right now, you know, so that you’re not leading them on you. Know they’re happy to tell you where the market is going with, you know, with the hope that they’ll get the sail down the road, okay, okay, and i think the health insurance is excellent one very hard to predict and also reveals that as you think about your employee in points, your labor in puts all the costs around those all the benefit costs and obviously labor very is labour always the highest not-for-profits a very labour intensive sector i’ve yet to see not-for-profits where labor was not their biggest expense. We’re going through his i get five bullets for budget building omigosh alright, we’ll stop there with thehe liberations. Okay, what’s what’s next what’s your fourth step in building a budget. Once you’ve costed out the inputs and edit everything up, you have a total expense budget. But obviously the money has to come from somewhere to pay these expenses. So that’s, your next step is to figure out where the money is coming from and how much is coming from its source. Okay, if you have a fund-raising you do that collaboration with your fundraiser. If you are an arts organization, for example, is a museum or the opera that sells tickets or revenue they have, you know, you have what we call earned revenue. You gonna have government revenue. You may have a lobbyist who could give you an idea of how much you can expect your government contract to be renewed for for the following year. So you add up all your total revenue, you compare it to your total expense, and i guarantee you the first time you do it, the expense will be more than the revenue. Okay, uh, all right. So that’s a problem. But let’s hold off. Did we do we identify all the all the potential sources of revenues? We have fund-raising revenue earned income. Wei have government, right government contracts and write the big ones is the big one. We missed us for organizations that a fortune to have an endowment is earnings on the endowment. Yes, of course. And that’s going to be hard to predict from year to year. Ah, you talk to your investment adviser, the the professional who’s investing the endowment for projection or what you can most organizations have. A plan for how much that they’re going to draw down from their endowment and bringing toe operations each year right there spent there spend right, right, there’s three and four and a half or five percent. Buy-in but you also want to know if you’re going to earn more than that spend rate, right? Because then can we count that we can count that his revenue, can’t we? Even though we’re not gonna spend it or we can’t no, we can count it as revenue. Okay, this is why i failed. Well, i didn’t fail accounting in college. I quit. Before. Before i knew i was going to fail, i walked out and dropped the class because i never understood how assets and plus liability equals equals equity. Is that what supposed to happen? No. Actually asked articles, liability plus, like what you see? This is it’s. Simple is okay. Everyone over and deducted. Okay, so even mathematics is arithmetic eludes me. But i’ve never understood how that really work. How does that work? Why? Why does that always work? What is that? A white? Those two columns always equal each other. Well, you know the old joke. How? Do accountants have sex? I don’t know it with double entry, so it always works because oppcoll kottler yes, i wouldn’t put you in jail, but you enjoy jail for that that’s so bad joke jail. I just can i just created that joke. Jail, you’re in it. You’re the first one and it’s going to be a small prison is one one cell and no toilets, so it works because of what accounts called double injury counting, which means that everything that happens, we write it down twice. We write down once on the left saints are the ledger, which we call the debit side, and once in the right hand side of the ledger, which we call the credit side and that’s to check against making mistake writing it down if are the end of the day we had a paper on the left side and we have everything on the right side and you don’t agree, we know we made a mistake on one of the sides, right? So that’s, why i asked that secrets lie bilich specifically because assets to the left side liabilities necklace is the right side, so they’ve got equal otherwise we made him stake writing it down somewhere. All right. It was right after that explanation that i ran out of the class on dh signed up for biology for poets is that it was my substitute class. But i went to a very respectable school, so it was very good class. And i mean, a very mediocre class in a very good school. Carnegie mellon university. I almost went there really didn’t take you. What? No, they did. That was my second choice. I would’ve gone there if my number one choice hadn’t taken me. What is your number? One choice. University of pennsylvania. You made a big mistake, pittsburgh’s and much nicer set of philadelphia. Okay, well, okay, there’s. Another way of getting revenue. What if we sell thing? If we have assets, sale of assets, is that possible? Revenue source. It’s possible it’s. Not a common one for not-for-profits, but it’s. Certainly possible revenue source. And if you make money on the sale than the gain is revenue for the organization. Okay. Okay. All right. So that’s that’s, our revenue step. And what is the last part of building this budget ilsen iterative process now? Because we are most likely scenario, our expenses are more than our revenues. The next step is going back to expenses and saying, where were we a little too aggressive? Where did we dream a little too grandly? What did we put in the budget was aspirational that we really don’t need. This is where this is, where the senses are greater than revenue writes this is where we’re going back to where a goal and say, all right, we set a goal of serving ten thousand students this year, but we’re not projecting revenues support that. So we have to cut back a goal to serving only nine thousand students. So now we know we can all the inputs that change depending on the number of students, which would be maybe the number of snacks we serve them. The number of teachers would be like what we call step variable because you’d have to like it in your teacher for every thirty students let’s say instead of everyone, students like the snack go back to cut those back until the expense agrees with the revenue. Okay, okay, we’re gonna take just a couple of seconds to go a little bit long, teo, for ah, how you use the budget year after year. So just in, like, less than a minute or so what i suppose to do with this budget now that you have it? Well, you should look at monthly the difference between what’s actually happening and what you plan to make sure that you understand the difference on dh it’s something attributable, like, for example, you changed your plans and your serving more or less people for a program was delayed into the vitamin supplementation was a coup in that country. So we’re under budget if you can’t explain the variance and that’s a warning sign that there’s something funny going on, you know, the funny i mean, you have a potential financial control issue, which means that you know, money is going out the door and don’t know where it’s going. Interested simply email at info at talking alternative dot com welcome back to tony martignetti non-profit radio time for tony’s take two on my block this week, it is avoid planned e-giving schemes sometimes you’re presented with legitimate plans for your plan giving program or programs of giving and other times you’re presented with schemes, and you can tell it’s a scheme if its first if it sounds too good to be true, and another hallmark of these is that they’re so complex that they just become hard to understand. And i’ve been in that situation where somebody tries to explain something that they’re pitching for a client’s program planned e-giving program and thirty minutes after they explain it to me, i can’t regurgitated so that that’s a bad sign, because even though i went to carnegie mellon, i mean, i could still understand some things. Plus, you know, there’s always eyes almost always there’s some sheet there’s, a sheet of paper, which has lots of boxes on it. There’s a box for your donor and a box for your charity and a box for the life insurance policy. Because often these include life insurance and then a box for the trust that owns the life insurance policy and one for the trustees of the trust and there’s, all these arrows shooting in and out of the boxes and they’re going around corners and going halfway around the page, into and out of these boxes. That’s ah that’s, another hallmark of what i think is a scheme it’s, very complex and it’s usually not really a way of helping your donors to make a charitable gift. It’s more a way of selling some financial product, sometimes it’s life insurance and sometimes not. Okay, then what is your title with the sharp group i’m a senior consultant in in which office? I am the san francisco office. I don’t even know. Yeah, tiburones. Just the other side of the golden gate. Okay. Okay, senior. Consultant, senior consultant. Okay, your topic. What to do when the donor dies? Let’s, let’s. Start with a rumor. I heard a rumor that i’m going to share with charity that someone close to the charity has died. What should the charity do? Well, it kind of depends. I mean, that’s a lawyer’s answer. It depends. Yeah, yeah. No, no. We won’t go there, but it it does depend on how well you knew the donor how close the donor was to the charity on what you’re going to dio certainly, in all cases, you’re going to find out who to write a condolence note too. If you don’t already know if the person was closer to the charity and there’s time you may water, go or send someone to memorial service. You want to be careful, though, about sending flowers and things like that? Because it’s not appropriate in every culture and unless you sure about the donors, religious, ethnic customs don’t send something, okay? Just a condolence now. But it could be appropriate to go yourself. Oh, sure. Goto a memorial service or a work or something and make, you know, make a point of telling the family. Members, you know how you knew the person and how important they were and what contribution they made to the organization, ok? Do we? Does it? Does it depend also on whether we have documentation of what kind of a gift there might have been for the charity, whether there is or isn’t documentation? No, because when we’re doing, you know, right after the person dies and we’re sending condolence, condolence notes and going to a funeral. It’s not about the money it’s about the relationship and if he knew the person or the person that was in alum of your university to have the chancellor write a note, it’s, nothing to do with a gift. Okay. However, if you have reason to believe that the person had included your organization in their state plan, then you need to start looking out for some notice. And again, it depends on whether it was a request. You need to get noticed within a certain amount of time that the estate is being probated or that there’s a trust. If it was a life income gift that your charity was, perhaps i’m the trustee of then you need to get the death. Certificate and stop sending payments. Okay, the notice of the notice that you refer to would be a notice of probate and that probate process one just explain what that i remember. We have your your repeat guests, so i don’t know if you were in jargon jail on the first time, but we do have jog in jail on the show. So for people who might not know what probate means, what what is that in just a sentence or two? Well, when someone dies, all of their their affairs need to be settled, and that includes everything from collecting all their assets and getting them distributed to the right people to collecting all of their bills and getting those paid they’re variations on pro probate is just the legal process on dh. It happens through the court of collecting the assets and redistributing them to the right people. The’s days a lot of people have living trusts, which do not go through probate, right? They don’t like that court supervised probate process, and the living trust avoids that process exactly to the extent that person’s estate is in the trust, right about how whoever is handling the estate. Basically has to do the same things just without lorts without question, right? Okay, but so all right, so the charity now has noticed one way or another. Either they know because they’ve been involved in a a life income gift might have been a charitable gift annuity let’s say, or they might be the remainder beneficiary of a charitable trust, and they’ve known that in advance. Or it could just be a simple request. And they’ve now received this notice of probate. Now that means that any of those circumstances, the charity has rights and responsibilities right after we talk about those little bit. Well, if it’s ah, life, income gift, the responsibility is to make sure that the tail end of life income gift is handled properly. First of all, was there a successor life income beneficiary? Because if there is, then you need to make sure that the new person is getting the income and it’s not going to the old person and let’s. Just talk about the other example of a will. If there’s a will, you need to find out what exactly was in the will. Make sure that you get the notice. Charities will. Any beneficiary is entitled to get notice if they have been included in a state of some sort, okay, and so let’s. Now the audience for the show is small and midsize charity, so i’m going to stick more with the will example because that’s the most likely for our listeners now they have that notice, but let’s say they don’t have a copy of the will because the notice doesn’t always come. The notice of probate on ly occasionally in my experience, comes with a copy of the will. Is it appropriate to reach out and contact the attorney that’s named in the notice of probate? Not only is it appropriate, but it’s really required ok it’s the charity’s responsibility to get that notice because if you leave me, no doubt is to get the document the world, because if you don’t know what’s in the document, how do you know that you’re going to get what you’re entitled to? Ok now, listeners, maybe a little apprehensive about calling a law legal office. A law firm that’s named in the nose of probate. How did they carry on the conversation? What are they? What are they asking for? They’re saying g, you know i am from x y z charity. We just got this notice of probate. We know that this was one of our donors. A close friend. Wait. We don’t know what this means. Can you tell us? You know, ask because asking questions and say, is there some documentation? Is there a will? May we have a copy of it, please? And of course, the answer has to be yes. Any experienced attorney experienced law firm will expect to be asked now, why do you say that? Thie answer has to be yes for the for the request for a will. Because, it’s a legal requirement that you’re given that documentation and that and that will is a public document at the person’s death, right? The will is a public document that trust is not. But any beneficiary of a trust is entitled to a copy of it. Okay? And not just gift portion the entire thing. Okay, and so i think it’s important to just spell this out because people may not know that they’re entitled to receive a copy of the wills you’re not calling the attorney, asking for a favor? Oh, no, no. No, no, no, that is something that charitable organizations need to get over there’s this idea out there, the charities are getting a favor that they should be grateful for any crumbs that they received. That is absolutely not the case. First of all, they have a fiduciary obligation, as you know, for the charity, their public organization to get the money. They have the same obligation to get the money that they’re entitled to as they have to invest the money that they have appropriately excellent, because they’ve worked hard to earn that gift, right? And the donor wanted them to have it. I think they have a responsibility to their donors to follow through and make sure that the donor’s intent actually is realized. Good. I like to advise that in that same conversation, when you’re making the first call to the attorney that you just confirm the contact information, sometimes the notice of probate will be sent to the general office of the charity, but we’d like the information to come to a specific person, and we’d like to love from tow have that contact information, anything more that you’d like to, well and the other thing. Is if you’re not sure who to write a condolence note too that’s where you can get the information, you know, did they have a surviving spouse or partner or, you know, other family member? Can you tell us the name the address, you know? Or if you don’t want to give us the address, can we send it to you? And you’ll forwarded on excellent advice, it’s very consistent with what i hear generally and my own practice too. Ask the attorney, you know, you write a letter to the the name the person’s name and then have the attorney forward it to the family member, you know, you’re dealing with people so it’s, you know, never mind the fact that this is a donor, this is a person with whom you or your organization had a relationship. So, you know, how would you behave if someone with whom you had some sort of relationship passed away? All right, so then after this phone call, we’ve received a copy of the will what what do we do now in the in the in the will example, you read it, you look and see what it says, you know, just stick it in a drawer and say, okay, we’ve got we’ve got a judge to know what happened, what it says, so it khun say, you know, say it says i give to my favorite charity twenty five thousand dollars. Okay, then you know you’re going to get twenty five thousand dollars that’s easy, you might want you call back the attorney’s office and say, is there an estimated time of distribution? What you need from us? You’re going to need our tax i d number if you don’t already have it, you may need our iris letter that we’re a non profit organization that’s easy, and then just keep a look out to make sure that you get it within the time frame that the attorney said, and it could easily be six to twelve months, maybe even more for the for the actual check to arrive, the actual check for you. Okay, what that’s pretty simple was more complicated is if you’re going to get the residue of the estate or a portion of it, and what that means is whatever is left in the estate. After all, the expenses were paid after everyone else gets their twenty. Five or fifty thousand dollars in whatever there is they’re supposed to get they’re supposed to get then there’s going to be something left over that is often the biggest part of any state and that’s the most complicated thing because you don’t know what it is. So then you need to ask for an inventory of the estate assets because if you’re going to get, you know, fifty percent of what remains, you need to know what remains and how the other part that the was spent. You want to know if you want to know how the estate has been managed on dh money spent because you’re getting fifty percent of what’s left? Yeah, you wanna make sure that what’s left is the size it’s supposed to be? Well, exactly right and that’s a little bit down the road? Because, you know, first, you need to know what there is, and then you do need to know what’s left and you’re set and you have to know, you know what fees have been paid and are those reasonable and and whether the assets on the inventory we’re ultimately sold for liquidated for an amount that is reasonable compared to what was on the original inventory? Because if there’s an inventory that says two million dollars, you know a piece of property in new york city, and then later on, you get in accounting. And, by the way, that’s, the other piece of it, you’re entitled to get in accounting, which is when the estate closes or is about to close. There has to be, i mean, literally an accounting of what there was, what was spent, what was paying when i was sold for. Yeah, and compare that. Because if you had this two million dollar piece of property on the accounting and it was pay, it was sold for two hundred thousand dollars. Another concern in reading the will it is, will the designation for the purpose of the gift. You know what if in that request language that there’s something that the charity may have trouble carrying out? Well, that is why it’s it’s a really good idea if it all possible to get copy of at least the gift language from the donor while the donor is alive, this is something that comes up. I mean, this is should have thought of this before, but organisations often ask, should we asked the donor for a copy of the will or shouldn’t we in order to include them in the legacy club? And you know no, because that’s the cultivation tool, however you do want to get if the donor is willing to share it a copy of the gift language, not because you want to count up in advance what we’re going to expect. Tell the donor i want to make sure we want to make sure that we understand exactly what you have in mind and that we’re going to be able to carry out your wishes and there are no questions later on, you know that you have our arse name too properly, sometimes there’s like a local organization and in national organization, we need to make sure that’s the correct one. I’d like to see the tax i d number and make sure we were like, make sure that’s correct in the bequest. You can’t always do that because person doesn’t necessarily even tell you that they have a gift plant. But that is why, whenever possible you want teo, you know, as protect the donor’s intention. Are there instances where the charity should engage an attorney to oversee this process? Um, yeah, and it’s not always, but it’s pretty often whenever people of charity either don’t understand what’s going on or aren’t sure, or if there’s a dispute in the estate, even if the charity is not directly involved, get an attorney to either explain to you and even say, oh, yes, this is just exactly what’s supposed to be happening. Don’t worry about it or say oh, chu is this is you know this is not right. One of the things the attorney needs to or the charity needs to look for is that the costs and expenses of the administration are being allocated properly. It’s not just a matter of whether there was some real fraud that, you know, the two million dollar piece of property was sold for two hundred. But, you know, with it do they said oh, well, you know, there are all these expenses the siblings, air fighting. We’ll just assign them all to the charities portion, you know, it’s like no that’s, not okay. You need to pay attention, okay? And the charity might find that expertise on its board. Or maybe if there’s a plan giving advisory committee theater. Neto, help them with the process. That’s a good starting point. But i would suggest that there may be more work necessary than is just probono okay. And also the attorney on your board or your the committee may not have that particular expertise. It’s a good starting point to say, take a look at this. What do you think? You know? And then you say, who’s, who do you think we should hyre toe? You know, it could be a very good investment of weapons, especially if it turns out in that initial review, the attorney decides it’s a pretty complex case. And there is a likelihood of some kind of challenge. Or even without the challenge, then you’d need teo engage someone you know beyond just to make sure that your interests were represented appropriately. How about continuing stewardship with the with the family that’s important? I would not necessarily expect that the family is going to continue to give you more money. That may happen, but it is the gracious thing to do, especially if there was a fund that the donor set up, like for easy example scholarship fund invite the family to see the scholarships awarded, have the scholarship beneficiary write thank you notes, and who would you send that? Thank you note too well, you know, it could be the surviving spouse or the children or, you know, you need to find out who should be the recipient of that. It might still be the case that you have to go through the attorney it might might be, and that brings up another thing. Don’t forget to thank the attorney over good people forget that these requests wouldn’t happen without the attorney making them happen writing, writing the state documents and the attorney has done a lot of work in making sure that the estate is distributed properly and sometimes standing up for the rights of the charitable organization, so you’d like to be known as a gracious charity in the community, right? Right. You want to be known as a gracious charity, you want to get the attention of the trade, you want to get into situation where someone says, oh, i want to make a bequest to my favorite charity, and they said, oh, you know, we’ve had experience with, um they really don’t have their act together. That would be awful. That would be terrible. So you want, you know, you you’re not going to expect that the charity’s going? I mean that the attorney’s going to say, oh, this is a great charity. You should give them your money, but you want them to have a favorable impression because if there’s been a negative one, that one is apt to be shared. He has extensive experience in survey design, online surveying market research and social science research. His career has been focused around research and data analysis for the past twenty years, and i’m very pleased that his practice brings him to the show. Paul garin, welcome. Thanks, tony. Thanks for having me. It’s. A pleasure to have you how useful are surveys for small and midsize charities? You know, i think for a lot of organizations, they really provide some core informations that oftentimes people within organizations kind of our internal debates about and there’s not always great clarity with what some of assumptions are being made. And i think research with particularly donors and stakeholders, but also uses of charitable charitable services give you a lot more specific. Clary on whether your fulfilling the elements cia mission that are most critical to you and most critical tier donors. So i think in that regard, you know, this becomes critical information not only to kind of get a sense of an evaluation on how you doing now, but also if you’re involved in long. Range planning and trying to look toward the future of how you should evolve on dh. Part of what you said is you could resolve some internal differences about the way things might be going or the way things should go. So maybe some of those internal arguments can be resolved this way. Yeah. I mean, i think that’s one thing that, you know, it’s funny, because when you work with people who say what we know all this we know we know we know exactly, you know how people feel about us or you know how we’re doing, and we know what our strengths and weaknesses are, and then you start to talk to different people in the organization. You find out very different assumptions with many people. So part of part of the problem might be unwillingness toe do the survey because then you have reliable information and your opinion might end up being the wrong one. Yeah, and that becomes a challenge for us is outside consultants and how to be able to do the research that they get away that’s not biasing any particular perspective and be able to present it in a way that people understand and take, you know, internalize that taking an understanding and continue to to think about things because we were we don’t have an agenda, we want to get to what what reality is and i think that’s one benefit of sometimes of having another group that’s outside your own organization do the research because you don’t have a kind of bias voice, right? That objectivity just you have to be willing to recognize that your side of the argument might be the loser exactly and, you know, like with everything we try, destruction is not, you know, presented that there’s winners and losers, but there are certainly times when you come down on a certain side and things are unambiguous when you, when you survey people and, you know, eighty percent say they don’t they don’t think you’re doing a very good job of this particular element of of your portfolio of services that you know, that that’s meaningful, that that’s pretty undebatable and one of the survey questions that we ask and i want to thank you for designing our first professional survey. Thank you very much. It’s usually it’s usually the hack job that i do, thank you thank you for for lending your services to the to the survey before the show, and one of the questions we asked is how satisfied are your key donors and stakeholders with the performance of your organization? Currently and three, two thirds said either very satisfied or somewhat satisfied. But then roughly one third, about twenty nine percent said i’m not sure, so they’re not there there’s some uncertainty there about what their donors and stakeholders think about how they’re doing. Yeah, and i think that’s, you know, that’s where we you know, where we come down in terms of how important this is, if, you know, a third of people really don’t have a good sense of that, you know, how do you move forward and know that the measures you’re taking the programs you’re supporting, the way you’re administering it all the way you’re going out and trying to get external support for our right and are going to be solid going forward? It’s certainly difficult to know if you don’t have some kind of reed and even the kind of very, very southside, somewhat satisfied, you know, that kind of comparison, although i think when you just research you find most people are somewhat or very satisfied, but, you know, is the bigger bucket very satisfied? Because those are the passionate people, supporters, those of the people that, you know, i really going to stand by you in the long term, somewhat somewhat satisfied, you know, they’re going to be the kind of people that i got more loosely affiliated affiliate in terms of long term, long term support. So you know, those those ki kind of things we bring to the table and be able to kind of say, you know, hey, yeah, eighty percent of your people your donors or somewhat are very satisfied, but, you know, only thirty percent of very satisfied and that you want to see flip, you want more people that kind of passionate what’s called top box, okay, right, i got you so yeah, so so don’t be so satisfied with somewhat satisfied, exactly what’s outside it is you’re doing fine, but in a world where, you know, people have a variety of different ways where they could distribute this support and all, i’m sure deserving causes, you know, being in a somewhat satisfied bucket doesn’t really distinguish you. Got, you’re ok, and in our survey was about forty three percent were eyes felt that their donorsearch stakeholders were very satisfied, there’s about twenty nine percent somewhat satisfied we have just about a minute before break, you can also be surveying people outside your donors and stakeholders, right? Amore amore, broader audience, maybe just your community? Yeah, absolutely. I mean, i think, whether it be local community, if you can, a local organization or we’ve done work for international organizations that we’ve done national studies forward to get kind of general population awareness. So for example, if you’re, you know, organizations say your aa group focused to its animal protection there’s a lot of those kind of groups out there, you know, where do you fall in terms of visibility compared to those other organizations? And what could you do to perhaps increase that? Where do you need to? Kind of kind of do your messaging? You know, what were the vehicles for communication and also one of the important messages that you need to get out there you can connect with? Ah, wider population. That may be more supportive of your group when there’s other competition. Come on. I hate to say competition, but not-for-profits. But obviously there’s people in the same space, all doing great work and believing in the organizations you know, that want support. We’ll take a break. Paul. Paul here is going to stay with us. The ladies said it for me, so i don’t have to say big non-profit ideas for the other ninety five percent. Paul, we were just talking about maybe surveying beyond your immediate donors and other stakeholders. But when you, when you do survey dahna people who are committed to you, it sounds like i mean, there could be some value around helping you to focus your mission in your core. Yeah. No, i think when you, when you talk about people that are closest to you, there’d be a core donors or donors in general or other stakeholders like, you know, people in the legislator that might legislative that might be supportive of you. You know, other advocates in the area that the different kinds of stakeholders beyond just a donor base, too. Yeah, but i think that’s where, you know, you really get a sense of people that know you well that care about the cause that are a little bit more discerning. And even the research you might be able to split those people out to where your core people, who were the people that know you best and who are kind of people providing regular donations cubine may not be tracking his services in consul here’s the core people were, and i’ve done that kind of research before. We’ve is it? Okay, here’s, the stakeholders that really know you well, what do they think of you? What does the kind of broader base of support think ofyou and kind of look at that? But i think that’s where you really get are we on our mission? Are we feeling the promises that we were making to the community that we’re serving into the people that supported think that if if they don’t, then you’re in real trouble? So if you find out that you they think you’re kind of falling short on a couple critical pieces of your mission, well, it’s, time to reflect and see is that a statement of messaging in information? Or is it truly a deficit in the services you’re providing? This could also be valuable in doing strategic planning. I mean that’s basically everything you’re saying could could contribute to a strategic planning process. Absolutely, because i mean that that’s the element we’re dahna only checking on how you’ve been doing, but what are the existing are you keeping up taste with the existing needs of the community, the population just serving so you may have done a very good job continue to do the job in your basic mission, but are there new challenges in us space that air coming up that maybe you’re not keeping apace with fast enough that, you know, for five years down the road, you that’s going to be the critical area that they would like you to see serving? So, you know, it’s a matter of how we doing now, but, you know, looking forward, one of the critical issues moving forward that maybe, you know, obviously you just think about the last he isn’t changing economic landscape suddenly the needs of people and in the nation at large, in the world at large have changed quite a bit, so you can imagine tryingto strategic plan five years ago when everybody the economy was hail and going full steam and and how that changed so dramatically and how you might need to change your kind of perspective and outlook long term as an organization, if you’re gonna serve people that now might be having additional challenges that didn’t. Exist a few years ago. What about just surveying aboard? I mean, could you use this as a way to anonymously gather opinions of just your board members? Absolutely, you know, always tricky because, ah, few key comments on they reveal their name, but that’s kind of one thing that again sometimes using outside organizations helpful because we can kind of get that and not only kind of, you know, clean the data such that, you know, we present things back to people so we can be sure indemnity, but also kind of educate, like, how do you use this information? But absolutely, we’ve done that kind ofthing, not boards employee research is are the people in your organization believing that you are on on on the beam with what your mission is with what your services? And sometimes we done both rose, since we’ll survey kind of outside populations donor, and then inside populations are those consistent, you know, people seeing problems that the outside world is seeing that are a sign of future issues are going to struggle with or vice versa, you know, you guys think, you know, internally, we think we’re doing great, but externally there’s a gap there, and perception and let’s talk a little more fund-raising too, you could use this tio test some different fund-raising messages, couldn’t you? What resonates best with donors protection? Actually, you know, one of the key kind of components in determining your messaging and fund-raising whether you’d be even if you think kind of educational institutions, colleges, secondary school, things like that. Um, do you kind of lead in your messaging with what makes you distinctive and unique, or do plead with the messaging that will have a broader appeal to a wider audience in the example sometimes uses, imagine that you’re either an all women’s college or a college with a long a particular religious tradition. And are you trying to kind of narrowly focus on people who value those things above all else, or you trying to kind of go out to a broader population and get a bigger, more diverse set of people in your in your school with which those lead messages might not be the most buy-in including and appalled, but how can a survey be used specifically in that example, then? Well, you can do is you can put out a variety. Of different messages and test the desire ability so say we describe a certain organization in certain with certain keywords and messages. He’s, how desirable would be that organization terms of you supporting in donating money for that organization? Then you have on the group of messages which both of which may be true about this organization again if it’s done anonymously and people don’t know the organization’s even more helpful than that. So i’m thinking, okay, so if you don’t know, the organization has done kind of blind like that, you know, to what degree and that’s kind of more talk more general population study, uh, how desirable these other set of descriptors? And then you get an idea about for my example for you, you’ll find out, is that the quality of faculty and staff and teachers and ability to develop your own individual kind of curriculum and and, you know, looking at the social and personal development that person will be the things that test out best and things about a particular religious affiliation although may not test our poorly aren’t going to be the core values of the wide group of people you can use those secondary messages to say because we have this tradition, we are unique position, so so then you can even use surveying toe helpyou sequence is your messages exactly, and so that’s what we’ve done, that exact thing with the you know, imagine the front page of your website or the front page of your of of of your kind of guide book, or whatever written materials you produce being those upfront primary messes, and then you think about what the secondary and we’re the tertiary ones because you don’t want to run from your uniqueness, either. I think it’s important to feel like you have unique ways to contribute, but you need to tie them into the core values of the population just serving, or the people that made support you in order to truly make a connection with a wide audience if you want to get to a very narrow base, well, that’s a different story, but for the most part, people are trying to exit chadband their scope and expand their flexibility in terms of either who they serve or who supports them just going back. Teo mission focus. One of the questions you asked in the survey was, how confident are you that your donors or other stakeholders are clear about your mission on dh? Everybody said either completely confident or moderately confident, but teo related to the point that you made earlier. How does brooke break out the first and second, only about a third were completely confident in two thirds were just moderately confident that people who know the organization are clear about what the organization does, right, and that’s and that’s, you know, going a key difference. We’ve done the research study for, you know, a local organization in new england that was doing prodding a variety of different services to local community, including, um, shelter and providing food services, heating and utility helped and things like that and, you know, they were kind of known for two key things, and they had a suite of fourteen of fifteen services that they were really proud of and and felt like that gave them a unique kind of very wide based impact on the community, but when you surveyed their donors, they were known for a couple key things and, you know, i think they want to feel like they had a much broader on. Understanding among the people that are supporting them and their stakeholders of what they really do. All right, paul guerin is a partner at professional survey group. You’ll find their sight at professional survey group dot com and we’re talking about survey savvy let’s talk a little about some of the nuts and bolts. What? What are the variables that go into determining how to do your survey? Well, you know, i think this, you know, there’s three major kind of modalities actually collected information that’s phone based research, online research and paper surveys come in person interviewing as well, but paper serving as kind of died out a little bit, but phone and online being the biggest and online, certainly in the last decade, really taking course. So one of the kind of determines is, well, how can we get to our population? Do, for example, do we have pretty good e mail, pop penetration or accessibility so that we could do something online? Do we not? Then we’re going to have to do a phone based survey will i’m sure phone his phone is quite a bit more expensive exactly that, you know, we do a lot of online, because, again, we’re trying to build on south getting, you know, a broad base of information for people with costs issues, and one thing i do kind of tell in organizations is there’s there’s a difference between sophie was well, if we go out to online that’ll bias up sample because the only people that are online a lot, our people check their email. Well, that may be true, but what are we trying to achieve here? You know, we can actually do this study for, you know, a fifth of the cost if we go online and are you really going to get that different information? Are you trying to pinpoint whether a certain question is seventy percent of seventy five percent or you’re really just trying to understand that here, the things people think we’re doing well, what is the kind of top bucket of things here’s? The things we’re not doing so well on the actual specificity of the data is not particularly critical in terms of well, yeah, maybe it’s a little bit biased in one way or another, but you can actually pull off the research financially by using your online they upleaf except with were also in that example. Isn’t it relevant whether the email using the active email using population is going tio have some some bias toward the objectives of the survey? I mean, does it really matter that a lot of people check the email? Eso they’re going to be the ones who will have a greater propensity to answers that really matter to the purposes of your survey and your charitable work and that’s kind of one of the first things we talk about with you, let’s, let’s talk through the ratification. So if i find out, for example, a group says, you know, we have about fifty percent emails, i said, well, who do you have e mails? Well, it’s, mostly people, you know, younger, ok? So then age could be a legitimate buy-in factor. And so then i said, well, you know, given that, you know, if we look at your donor and then the actual kind of looked at the percentage of monetary support you’re getting, you find out that eighty percent of the forty and over well, we’re not going to want to exclude them from the study in that particular case, it’s worth saying okay, maybe we do a mixed methodology of phone and online. Or maybe we do phone it’s worth that. So there’s certainly a circumstances where i would say, you know, in this particular circumstance is biased and there i was i would say, you know what? For what you want to know, it’s. Fine to get read elearning online population that’s that’s. Okay, what’s the i gotta move on a little bit. Paul what’s the reliability across you mentioned phone, email and and paper surveys are they do they vary in terms of reliability. They vary in terms of kind of, i think what i found actually study on several years ago in a previous lifetime, but that phone research people tend to be, well, one thing briefer because you in-kind getting getting them stirring the phone researches it’s more active and you’re actually pursuing people to prove spade in the research. The downside that is that sometime you’re catching people that’s a very narrow window, which is kind of catch them on the phone and do this as on online or paper, they could do it at their own leisure. So sometimes you get very truncated responses, particularly if you asking kind of open ended items about that require commentary? We’ve also found that people tend to be nicer on the phone, so if they’re rating you on a scale of one to five it’s harder to say something bad, it’s harder to be a negative on the phone. Yeah, so not that it doesn’t happen, but you tend to see the scores being slightly higher on the phone, an online or paper where you don’t have that what’s called a demand characteristic, you know, social expectation of being nice, okay, so that that’s a big difference i’ve seen between phone versus the other two methodologies is this is this something? And we have just, like three minutes or so before before we have to end all this talk about serving, but is it is it something that charity khun i could do on their own? If we’re going to a short survey, can they can they do this and be successful? You know, you know i at they can, you know, i think there’s always caveats about making sure that you have, you know you’re asking questions in the right way you’re not biasing your questions in a way they’re going to get you information. That is what you want to hear and not necessary. What these actuality but there are tools out there like surveymonkey and bloomerang that are going online. Survey tools that are relatively easy to use if you just have a short survey it’s not that complicated you want to get a bunch of yes, no questions or some commentary you khun go use those those were relatively inexpensive. Certainly this free virgins of them. But even the kind of pay versions they are very, very inexpensive her month way you surveymonkey for the for the show’s a sze yu know exactly. You know that, you know? And for a lot of needs, they can solve them. You know, if you want to get a quick read on you can pop out a survey monkey auras bloomerang survey tia population. You could certainly do that yourself. They’re fairly easy tools, tio. Okay, but then if you’re going deeper like this is part of a strategic planning process or you’re not sure about the mission focus that you should be you should be engaged in for the next over the next five years. I mean that is more detailed, and you want to probably have someone professional helping, so you’re eliminating biasi? Yeah, i think if you’re going to get into that depth and really talking about shaping the way your organization is currently are going to operate in the future, then you need to really we’ll get somebody to kind of look atyou survey and like what we do with lot of they will say, hey, what what role do you want us to play here and what you know? And we could do that with what, what? But you have? And at minimum, let’s, look over your survey and say, well, you know, that question isn’t going to get what you want, it’s going toe it’s going toe secure the issue more than going to clarify all i have to stop because we have just a minute and i want i want to talk about getting feedback, is it? Is it wise to share survey results or to tell people that you’ll share the your your findings with them like everything it’s, context dependent, i bias towards sharing? Yes on i think thinking on how you’re going to do that because i think especially when you’re you’re serving people close to you, either your own employees or donors. They’re gonna have an extra day. Shinhwa what happened with this information? What did you do with it? What did you find? And what is he going to be? Action. So i’m very biased whenever is appropriate. Find a way to share the information. The main information, the survey, maybe you don’t need to share everything. Maybe something’s a kind of nuance that you wantto kind of work on internally. But i think some of the main things not only what you found, but what you’re going to do with it. I think that is a great power. It makes people feel like, well, there’s a reason i did this research and i contributed because now the organization i care about is utilizing an unproductive went. If you google philanthropy jargon generator, you’ll see what got me thinking about jargon in the non-profit community it’s a random collection of now nhs verbs announce adjectives and verbs, but not in that order, though thinkit’s, verbs, adjectives and now nes andi it’s a little disconcerting. I think that somebody, somebody thought there’s so much jargon in philanthropy that they should create a generator to help you create, create your own if create something, if you if you’re at a road, block your mental block and you just can’t think of the right phrase, put in a random jargon phrase and and you don’t have to define it because people don’t define jargon so that’s little disconcerting. Um, got a lot of comments on this on this post over a dozen some people use it. Teo, i think some people use jargon to sound smart, which is unfortunate, but there was one comment or someone uses jargon to screen for expertise because hill, he’ll ask people what they’re lie. Bunt and sideburns rates are and leibrandt is someone who donated last year, but not this year and a side bunt is someone who didn’t donate it in some year, but not this year, keeping myself out of jargon jail, of course, so he uses it to sort of screen that’s interesting, but generally i think you want to communicate so that people understand what you’re talking about. The jargon generator, i think, is fun, but you wouldn’t want to use it as your dictionary as your when you’re writing to donors or ah, potential funders. So post is called jargon. I am here, tony, how you i know you are doing well, scott koegler, of course, is our long standing tech contributor and the editor of non-profit technology news. We’re talking this week about content marketing. Scott, what is content? Marketing? Uh, content marketing. You know, i actually don’t like that particular title gave it to me. Okay. I know. I gave you the guy stabs me in the back in the first sentence. What can i say? All right, well, i’m calling you out. It was your type. He changes. Mind you’re entitled change minds. Go ahead. What do you what is this thing that we don’t have a name for? Well, we have we actually have many names for it. I prefer using something like authority marketing because the point of this kind of thing is that you write stuff and you you send out articles that our authoritative in your particular space authority marketing says has such gravitas to it. It does. It does. Actually. Sounds like it should be jargon. No, but the point is that what you want to do is you want to give people something to read that that’s not anything new that’s, you know, newspapers and everything else that’s been published forever. I want to do that, right? So we’re encouraging people to block is that? Is that where we’re headed? That’s part of it? Yeah, that’s, uh, we’re encouraging people to put out information that the people that they want to talk to are interested in knowing about that’s, that’s it, or whether it’s blogging, uh, whether it’s, uh, you know, paidcontent, uh, whether it’s, maybe even aggregated content, which we can talk about also, which is actually pulling information from other locations, and then writing about it. Okay, thank you for defining that keeps self out of jargon, general. So we’re very jargon sensitive this week. You can tel i i hear that. All right, i get the get the keys. I’m i’m on the trigger. I’ve got a hair trigger. So, content marketing authority marketing. Um, let me just talk a little bit about what i think content marketing is okay. It’s actually been a bad name for me because it’s, uh, it’s really it’s being used by what’s called content farms, which are sites that, like examiner dot com maybe to a smaller degree, but they they pay very little to their their authors. And the and the point of little writing is to get keyword rich maybe keyword overblown articles, because then then they sell advertising space, right? They shall advertising space against those. And until recently, google, you know, could be fooled into paying a lot of attention to a site that had a whole lot of appropriate word. All right, but not great content and cheating the writers. And that sounds terrible. Alright, that’s not a terrible, especially since i’m late i’m against. All right, um, good. So the other side of content marketing, which i call authority marketing, is creating articles. However you do it, whether it’s yourself, blogging or whether you actually pay somebody to write for you what co-branding information and putting it out there for people that you know, something, they’re interested. In actually reading, not just the google will find it and bring it up in search results because it’s much better people actually go to your site because they want to go to your sight because he has a reputation on dh that is not stuff that’s necessarily touting your good work. Oh, i mean, it could be stuff that’s valuable in because it’s related to what you do write an interesting that way? Yeah, think of it as a cz yourself, if you’re mean, you know, we know what you do, and we know well, i know some of the things you do, and so what are the things that people would write about and publish that would bring tony martignetti to a website, you know, on it may it may be about non-profit but it may also be about creating, uh, creating audio’s shows that draw audiences and maybe that’s related to non-profit or not. So you really need to know your audience that’s really big key, okay? And i want to say that generally i’m an example of what not to do so i appreciate you using man’s example of what should be done or who could. Be done could be let’s, not goes for us should, but generally people would be wiser to take the course opposite mine and self deprecation is one of those things that comedians really like to get into. I do that’s true, but we know that most charities don’t blogged, right, isn’t you have an article sixty nine percent don’t block and yes and that’s true. And you know what? I think what happened is that over time and i’m talking about the last now ten, twelve years blogging got to be, you know, everybody blogged, um and so, you know, it was your block and your mom read it and that kind of stuff, and it turned out to be pretty useless for most people because they may have written something, but nobody cared. Yeah, and so i think that the blogging that name blogging got a bad lap for a while. And so whether let’s just talk about content creation rather than block. Yeah, because there are other ways to do it to youtube and other ways that you mentioned before, lots of ways and content, as you just kind of alluded to is not necessarily their word it could be what you’re doing right now. The audio shows it could be video, it could be animation, even it could be a whole bunch of things, but the point is to get something that’s that is interesting to to the people you want to talk to so that they then say, g i and, you know, wonder what tony’s got going on today. I think i’ll go over and check in sight, right? Right? And then they’re rewarded at least at least fifty percent of the time that they find something that they like. You don’t have to hit one hundred percent not going to hit on percent, all right, all right, okay. And a way of just tow bring the show. That sort of full circle may be a way of finding out what your stakeholders may be interested in is to survey them and also to find out where they are, whether they’re whether they’re active in social media or more active. Just an email. Yeah, exactly, right, exactly. Because the way you’re going to deliver it goes to your point of knowing your audience, right? And just because you have an audience that you talked to primarily by let’s say email doesn’t mean that you can or should ignore the social media. I’ve got a couple of websites that i managed and i do content creation for them, you know? So so i’m kind of in the business and every time that we publish an article, we also sent out a tweet and a facebook update and they linked in update and those go automatically so anybody who’s looking at us from any of those locations in addition to the weekly email that we send out, has the opportunity to see what we’ve done and you know their choice. They come read more about it or not, but at least they’re getting notified, right? And the interconnectedness between all these social media properties, the one you need, the ones you’re named and you might put flicker in there also can be very much automated, right? Right with a with one exception of google plus which is not yet still released their their a p i that allows automated system’s supposed to for them? Yes, jack, you are shows social media manager regina walton doesn’t outstanding job of knowing how to do all those interconnected ah messages. But it’s it’s really not very hard now and then, but that’s the key is sometimes you can’t automate everything. Sometimes you just have to have, you know, somebody put in the time in order to do what’s, right? Absolutely. I just i don’t want to discourage people thinking you have to have a social media manager in order to make these interconnections it’s valuable because i’m producing so much, but you can’t do it on your own, too, right? Absolutely. Let’s. Talk a little about aggregated content you mentioned. What? What? What does that mean? It sounds like way. Don’t have tio write everything on our own. Yeah, they were produced everything or whatever aggregating content and stealing stuff. Okay on dh aggregated, aggregated content. Basically what? Here’s the here’s. What happens? You get a google news feed on our ss feed, you monitor somebody’s block that you know, has good stuff that you like and let’s say that tony wrote a block that i really, really like. It makes a lot of sense for us. My my leadership would probably like to read that. So i got a choice. I could just copy and paste it into my sight, which tony probably wouldn’t appreciate, right? That’s very bad. And not only that google. Well, actually, uh, take us down for that now it won’t take us down, but they’ll they’ll decrease our popularity because they say, hey, this is already than publish whyyou republica interested? Okay, they know they don’t really care about the fact that you plagiarized um, but they do care about the fact that it’s not original. Okay, so what i would do with that is i would write, you know, maybe a couple street who’s that tony martignetti wrote this really interesting post about jargon this week on his block. If you want to read it, click here. So what that does is it gives me something to comment on, and it lets my readers say, cheese. Not only does scott put out this stuff that’s interesting to me, but he’s also bringing me things that i may not have known about from other sources. So this is really a good way snusz to be to find out things that i want to know and what it does for tony, of course, is it brings another reader to tony site it’s really a good wayto work, aggregated content understand very, very organic way of bringing people to your site on give it back by by giving them value. Dot com in which at which point we actually do all of those things that i just described. Okay, you conceive an example of it there. Thank you. Um okay, scotty let’s see, i’m here. Yeah, different the different platforms that we might use different properties that we might use for our authority marketing have different personalities, right? I mean, you might not necessarily do the same thing on twitter that you would on facebook on dh versus linked in certainly, although the social media platforms have a whole lot of commonality to them, but right, twitter is only going to take, you know, a sentence and maybe a picture where is facebook could take more than that lengthen could take more than that. Google plus could take significantly more on that. Actually, you can publish directly on google. Plus, i don’t particularly mentor recommend that, but it’s people have done it on the menu. That’s interesting. I’m sorry. I just ask, why? Why do you say that about google? Plus what? Why not putting fresh content directly on google? Plus, um, google plus is like a hyper blogged in that the content rules by very quickly and so it’s very difficult to them find something of interest down there if it’s kind of rolled off of your screen. So okay, so not like, uh, it’s like a regular blonde or an online publication where you’ve got a nice kind of a content management system, brings things to the front, keeps him there for some starita time and then actually could be found easily in the published right. And and i think the length of articles is a big differentiating factor. If you have anything longer than a few sentences, you really don’t want a post directly on social media. Okay, you want your own, you want your own space, you want your own space, and then you wanna leverage the social media that has the first paragraph, maybe or on a link back to your your own content site. Okay? And sort of wrapped up in everything we’re talking about. Is that the same? Content can be used in different ways. I mean, on dh lynette singleton, who is on twitter often retweeting the show on dh lynette, thank you for doing it today she is at s c g the number four non-profits on lincoln on twitter if you wanna follow her, um, makes the point that, you know, one one piece of content can be used across lots of different platforms in different forms. Absolutely. I’ve even multipurpose, um, that has gone, taken an audio podcast like yours and has transcribed it into text. Oh, interesting on and then what? And then they just post that really? Okay. That’s interesting. Yeah, i can either be edited, so that was more of on article or serious of articles or can be just posted as it as it goes. I think they successful way to do that would be split it up in the articles, post them as content and maybe even link back to the recording of the show. So there’s, somebody prefers to here, they can still hear it, and i could see a value. And that would be you’d get some search engine value from the transcript because search engines can’t. Search audio. But all those words that are in the transcript would be searched if that’s exactly right. And there there are many ofthe offshore overseas services that will transcribe at an unbelievable rate. So, you know, i may not be perfect, but it’s it’s enough to get to get online and get it, maybe useful enough for someone to say. Yeah, i see what he’s saying, but i prefer to hear it so they click onto the the audio stream. Got it right. Okay, but again the point, multi multi purpose ing your your content coming and going back to the earlier guest ball. Gearan a survey could be something that is used as authority marketing. Absolutely. Because what you doing in that place is getting your readership to become the authority. And people like, you know, they have there. They’re their word and their opinion. I would caution we do surveys for some of my properties as well. And there is there’s a survey burnout where you just continue asking people for their opinion and well, you know, at the first couple of times they really like it. Especially if you give them feedback and write an article. About what? What they said. But if it’s too long or more continuous or too frequent, you’ll notice, uh, extreme drop off your respondents. Yes. Okay. Okay. We’re going to leave it there for for for real this time. I have to say that because the topic today that we’re gonna be talking about if i didn’t correct you about my particular officer position on a board, i wouldn’t be selling the reason why i said or or why i think it’s so important to serve for constance he believe in. So this is why i need an intern with you and i would both blame the intern and it wouldn’t have reflected on you badly at all. What is your work around with ultra high net worth individuals? What are you doing with them? Well, i think that my work is providing meaning in their life. Many of our clients come to us because they’re in the middle of a transition. Perhaps they’ve sold their business, maybe there’s some interesting event that’s happened in their life, perhaps even a very sad event. That’s happened their life, and we help them identify how to be very strategic, purposeful and planned in there, giving for many clients when they think about making a contribution, even a large contribution, they don’t put a tremendous amount of thought into it. It might be a cause that they’ve heard about maybe one that they’re associated with, but they’re not doing a deep dive into the background and the backdrop of what’s really going on in that non-profit organization or what else? There might be out there in the world. So we try and provide that professionalism and then along the way make our clients professionals themselves. What what? What? Do you find motivates ultra high net worth? And shortly i’m gonna ask you, what is ultra high net worth? But we’ll work our way to that. But what do you think motivates their giving? Well for some clients? It’s because someone sick in their family for other clients, it’s because their rights a little more about that someone sick where the e-giving in memory of the person, soon it’ll be in memory, will hopefully to find a cure. Hopefully the final usually clients witness a major change in their attitude. What they used to buy with their wealth no longer becomes important and that’s, because the second that someone has a diagnosis in their family of someone who’s ill the only thing they’re thinking about is identifying better treatment and perhaps secure. So we find often that we come to the film provoc table with someone who has just been given that diagnosis more and is looking for the solution where so many of us just our resource is, we go to the web and we learn as much as we can, but when we’re talking about people with extraordinarily extraordinary wealth that can actually invested in a possible cure that’s what? They want to buy it. They want to buy the cure. I think what’s shocking and disappointing in many instances is that clients, no matter how wealthy they are, find out that they can’t necessarily buy everything. So it is that deep investment for the long term, perhaps not even for the benefit of their family member who might be ill but for others to find a cure better treatment. Better resource is that might bring some of our clients to the table. Others are just deeply invested in their community. They want better cultural organizations. They want better education for their kids. Certainly in new york, that’s a very big issue about private school, public school. And as your children are going through that educational problem situation, where are there enough of fine schools in new york to send our kids to? In many instances, they find that they that there’s not so. Our clients are interested in identifying. How can they be the solution to the educational drama issue? We have just a couple minutes before a break. What? What what’s the definition of ultra high net worth. What is how much money are we? Talking about, well, a lot more money than i have. I’ve always said that i really hope to one day be able to be my own client. But for us, ultra high net worth is really defined as clients who have a net worth of twenty five million and more. The reality is that it’s, a very open span for those clients, though, with twenty five million and mohr, they usually have a significant out, a significant amount of money that they could do something incredibly impactful with their philantech. On how much i’m wondering how much does somebody who has that kind of wealth walk around within their wallet like like i have typically, like thirty or forty dollars in my wallet? But so i would probably not be confused for ultrahigh worth of net worth. If someone stole my wallet, i probably wouldn’t i probably couldn’t get away with that. But, you know, like, how much do you think they have? Just on an average day in there? Well, how much do you think that carry around? Probably probably no cash. I think that i think that most about very wealthy people typically put most their stuff on cards today. So you know what? Actually, i would go after your wallet if i knew that you were on the street. So just watch thirty or forty bucks, so i was ready. I was ready to go, like, three or four hundred in my wallet, and then it almost be worth it to lose that much if i could get two muggers to think that i’m ultra high net worth. Yeah, yeah. Now they would share the story of the ultra high net worth guy, you know, among their prison friends and i could, you know, get known that way, but i’m going about it the wrong way. You got to go down so well, no cash. Now we need to talk about prison reform as faras labbate, right? So so how can you make sure that those who come out of prison that are better off than when they went in and are telling the story of twenty martignetti being ultra? Yeah, absolutely. My guest is melanie schnoll begun and melanie let’s talk about. When charity’s air trying to solicit gif ts you have your clients who are ultra high net worth, but you have, i think, very valuable advice for any charity that’s trying to solicit any major gift, which maybe five hundred dollars or thousand dollars for some charities. What what’s your you see sort of faulty proposals a lot, don’t you? Yeah, i think that non-profits believe they understand who the donor is, and they prepare something in advance. That’s a critical error, you never know who that donor is, the famous saying. If you’ve met one philanthropist, you’ve met one philanthropist, so we try and tiki non-profits to perform a radical listening, and that means spending the time to really understand why a donor may want to be a donor to their organization. The time will be incredibly valuable both for the non-profit but even more importantly for the donor, when the donor has the opportunity to talk about what they care about why they care about the organization’s mission, you hear things you really hear things inside of that conversation inside the conversation in the donor’s hat so radical listening is a skill that we teach non-profits to practice. And that skill is something that serves both board members. It serves the staff of non-profit organizations, and at the end, you’re really giving a service to a donor. I think that most of my clients find that no one listens to them well enough. Yeah, but but a charity that’s that’s soliciting a major gift. However they define that might feel that they’re not going to get another meeting with this person. They go one shot. We finally got the meeting. We got forty five minutes. Way better. We’ve got to lay it all out because we may never get a second meeting that’s, right? So you walk into every meeting with the idea that if i really listened to this donor, i’m going to get the second meeting. If you walk in with a proposal thinking that you know who this person is and what they want to offer your organization, you’re probably guaranteeing yourself that you’re not going to see that donor again. So does it always work? It may not always work if you begin practicing it. Well, if you spend so much time performing discovery on that donor both in the dance of the meeting and then, while you’re sitting at that meeting, i think over time you’ll find that your practice as a fundraiser will dramatically improve. So you’re suggesting that if you can move the donor while while radically listening, then you’ll get a follow-up meeting brightstep my suggestion is, if you are performing radical listening, you will move the donor, okay, okay, even without introducing your mission and your work in the first in the first meeting, right? Because you’re going to hear from the donor what the donor wants to dio instead of telling the donor with a non-profit wants the donor and you do know there’s a threshold interest, otherwise you wouldn’t have gotten the first meeting would have gotten the meeting would have gotten the meeting. So it’s, it’s, it’s, it’s an important skill it’s something that has been written about andi, i think that we can’t live in that fear fundraisers can’t live in that fear that this is joan, or will not be interested in talking to me again. In fact, most of the conversation is not a conversation most of the conversation is letting that ultra high network donor talked to you, and you’re just there. To listen or again, it could be any level donor, and i’ve had where we have a regular prospect. Research contributor maria simple is on, and she and i have talked about the value of the face to face meetings, and she’s a professional prospect researcher who knows all the web webb resource is, you know, but she still recognizes that the greatest prospect research comes from a good, good conversation, absolutely, and and and and he’s absolutely right face-to-face looking a donor in their eyes. In many instances, i think being on the donor’s being in the donor’s territory so ah place where they’re comfortable, where it’s an environment either their office, they’re home, maybe somewhere where they’ve recommended that they like to go for coffee. Usually i recommend going for a glass of wine because, you know, does it doesn’t hurt, but her loosen up? Yeah, exactly. I’ve tried to get sam lee boards to have wine here, but he’s not doing it now you’re not really radical listening, right? I just radically demand. Thanks, you know, but i’m not a charity, so i think i’m exactly you only have thirty example. Everything was for you only have thirty dollars. You’re well, you’re our charity ticket. You can’t get a decent bottle of wine for thirty bucks. So then the careful listening radical listening is goingto inform your valuable proposal when that when it’s the right time, that’s, right sametz writer and the valuable proposal some hints that we give to non-profits as they’re preparing that that proposal brief three points know what are the key issues that you’ve heard? The donor has said to you, the areas where they’re really interested in supporting on ly talk about those areas, right? Putting in a proposal for stuff that you haven’t heard because the organization needs it, but the donor doesn’t want it what’s the likelihood of that getting funded so three typically are the most that we suggested a proposal going backto a donor that you know what they’re interested in, you’re going to get a much better response, okay, other tips for the for the proposal itself, for the written document, you brief couple pages, right? A couple of pages in fact, most of our clients today, they don’t want to read stuff, right? And they fear that if the non-profit is spending so much time and resource is preparing proposals, then they may not be spending the money that i’m giving to the organization i’m doing the work so in many instances, is it brief short? In fact, non-profit should ask the donor. How would you like me to prevent to present a proposal? Is it isn’t even something that you want in writing? Or should we just have another conversation? I would welcome that second conversation so that now the second meeting, the donor’s prepared to do their own radical listening. Is there a problem? Sometimes when a donor gets sort of passed off from somebody who knows the work very well to the fund-raising professional who’s goingto the closer it’s like it’s, like in a in a car dealership going to which i have very bad memories of a child. Buying my first car was awful, but at a car dealership going from the salesmen to the finance manager exactly going that office and the door gets closed off, you know, but being passed from the maybe the executive director or someone who knows the work well to the closer the fundraiser doesn’t something get lost there sometimes. Yeah. What? What gets lost is the gift. So no one wants to be handed off everyone in that non-profit organization, both from voluntary leadership. To professional staff should be able to talk about programming if the executive director is the one who has contact with that donor. If it’s a boardmember who has the contact with that donor, or if it is the professional fundraiser that has the contact with that donor, the conversation should be between those two people bringing others include others in the conversation. But don’t hand a donor off. I have a a client’s situation that happened with a large university hospital incredible organization doing tremendous work. And this client’s unfortunately this this medical institution was not able to save the life of our client’s husband. But he wanted to honor him. She wants to memorialize him. And the doctor who was treating her husband was the individual that he wanted to leave a contribution for so that he could continue doing the great work that he began with her clothes with her with her husband. Many of the conversations happened between her and the doctor. It was intimate. She could see clearly what she wanted to accomplish. And then when it came down to the clothes she was handed to a development director. Ah, fine development director. Someone who? Spent years in the business, but it was so disconnected and she felt that were there. Were you there for the meeting? So i was there after the fact also, i came in to help save the gift. Okay? And we this this donor-centric working with us after he felt that brush off from the doctor and it was completely unintentional. So totally unintentional. Just protocol just about innocuous handing off it’s the way things are done, he wasn’t supposed to close that’s someone else’s responsibility. So what? I teach both boards as well as professional staff. It’s everyone’s, responsibility close. If you’re the one who has the relationship, you need to be confident enough to make the ask. And you need to be prepared enough too close. And if it’s i guess if it’s a really technical gift which it could be a at large dollar amounts, then at least include the in your case, the doctor, but generally the program, the work expert in the conversations don’t leave him or her out in the hall while now the professional closer you know, goes through his is her stick that’s, right? And you know it. Theatre knees, the accountants. All the financial advisers, all of those professionals, need to play a role in the process. I’m if the donor wants him to be included in the conversations about the specifics of the gift that’s great, but there’s the technical aspects of giving and then there’s the emotional aspects of giving and what i see getting lost. It’s, it’s, it’s never technique, right? You could draft a perfect trust. It could be absolutely accurate. The document itself could get an a plus plus in any fine law school. But if the donor is not connected emotionally to the gift, it doesn’t matter what the document says. Melanie schnoll begun is managing director, head of morgan stanley, private wealth, management’s philanthropic services and we’re talking about the law of attraction basically had a look good when you’re either soliciting a gift or soliciting someone for boardmember ship, which is what i’d like tio transition to now, okay. Appealing to a board appealing to a potential boardmember, um since you’re working with ultra high net worth people, i’m going to guess that sometimes there approached because they’re very wealthy. And how do they feel about that? Yeah, so in the law of attraction, it’s it’s rarely because they’re really good looking. Damn many of them might be hot tonight, but it’s usually because they’re wealthy, so similar to the idea of marriage. Right? So when i got married, i married for love. I married for looks there’s, you know there’s a little bit of money to that’s. All so that’s, always wonderful when you think that before you can say sex on the show is this the part where you were this sick? It’s coming, it’s coming, it’s coming, it’s coming sex is you have to have a little foreplay before sex. So it’s getting there russia you’re like that’s been my problem. You’re russian in europe. Well, among others, but let’s keep it let’s. Keep it focused on alt-right work-life let’s, take this conversation on the bed here. Right? Right, right. So the opportunity of creating a marriage between potential boardmember and an organization it’s. Incredibly important. So the the reason donors believe that serving a non-profit is an appropriate step for them is because they’ve been courted well, it’s, because they find the organization incredibly attractive and good looking it’s because they want to spend a lot of time with that organization because they want to see that organism they grow and really achieve incredible impact very similar to marriage alive know the problem with marriage is is half the men in divorce, so the same is true with non-profit port service, you’re excited at the beginning, right? You can’t wait for that next kiss can’t wait for the next date and then quickly within the first year, if the non-profit doesn’t really know how to work well, play well, dine the donor well doesn’t understand where they like to go to how they like to vacation. If the non-profit doesn’t know how to use the donor to his or her maximum capacity, they get bored, they get disenchanted and the worst thing is donors cheats like just like what happens in many families that fall apart, they begin looking at other opportunities that really do want them thinking that it’s better on the other side there feeling remorse about having joined this board, everything was great in the beginning, the right the honeymoon stage, but about exactly right. Exactly right. So spend your time non-profit should spend their time thinking about whether or not this is a person they want to marry. Is this a person that will bring value to this relation? Can we grow together? And what do we each bring to the relationship? It has to be more than just money again. Just like many families, right? If all you’re going after is the wealth than a marriage for many, many years will fall apart. You know the boardmember potential boardmember wants to know that they’re going to be used effectively. That’s right? Utilized way. Don’t use board members. We usually large numbers. Okay. Okay. Um, taking over the show? No. Uh, let’s see, so but a lot of times, board charities need an expertise. We need an accountant or we feel we need an attorney. And in some deshele t real estate, maybe or something. So they’re seeking that profession. But that is contrary to what you’re recommending, right? So i think what boardmember sze need to be on? What boards need to do to get the right people on their team is, they have to look for people different than themselves. What happens with most non-profit boards is you look around the board table and everyone’s the same right, because it’s a friend introducing another friend. They come from similar backgrounds, specially smaller charity it’s, a friend of the executive director of the founder, absolutely especially small non-profits and specifically, when they’re getting off the ground, right. So it’s, the founder, it’s, the founders best friend, its founder, sister, and perhaps someone who worked for them at one point time or an intern so non-profits really need to think about how can we bring true diversity to our board? Professionalizing aboard must include accountants, financial advisors, lawyers, but you can’t just look at them as a lawyer, you need to look at them as a lawyer that has a mission that there interest must be tethered, if not tied to the nonprofit organization, that they’re a lawyer that’s their skill set. But ultimately we know that even if they warrant a lawyer that they really support the work of that organization. I wantto have you bring something out that we had talked about that very wealthy people are not un interested in working for smaller midsize working among being utilized by small and midsize charities. Is that right? Absolutely. I think that many very wealthy clients believe that they can be better utilised in a small nonprofit organization. In fact, that’s where most of the money came from. So the majority of our client base started their own closely held businesses. And they realise what it means to rule up their sleeves to get dirty. They love on that kind of opportunity and nonprofit organizations. So when you come into these large non-profit organizations very bureaucratic, very political. So many individuals that look like them. So it is even mohr attractive for wealthy people to see that you know, my gift. We’ll make a significant difference here. A couple of weeks ago, i played pirates with my seven year old nephew and my nine year old niece, and it got me thinking about the value of taking time for play, whether that’s play with kids or play with adults, it’s a chance to rest your mind and think about things on dh ideas completely unrelated to what your work may be day to day, it could be mindless play, and that could be even mindless play with adults you might have fund-raising yourself mindless with adults and then and then playing, you know, talk politics without any restraint that we have in our day to day lives. All i think makes you at least i feel this makes me feel more refreshed makes me more focused at work. I think when i take time off and i return, i’m just i’m just performing better and i’m hoping that you’ll get some of those same result it’s from taking time, tio play could be pirates could be something else and that’s what’s. Um, let’s talk about donorsearch that day. What’s the what’s. The purpose there. Well, as you know, we’ve had a long commitment at the journal to report on the philanthropic interests of of our readership, and for many years we had a column that was gift of the week. And during the economic downturn, we how do i put it? Sunset that column in favor of resurrecting it with the greater new york section, which is our city section in the wall street journal, available in new jersey and connecticut, and certainly manhattan and the boroughs. And ah, the decision there was to create a column that was daily and looked at all kinds of philanthropy be at a forty million dollars gift or a gift from a teenager who does something that’s incredibly not charitable. So that’s what? The column is runs most every day in the paper. Assuming that we have news, we have room for it on dh it’s a pleasure to do and they they preferred the alliteration. Clearly, i like a little rations on my show. Gift of the week doesn’t sound snazzy donor the day sounds pretty cool, i guess die end of the day you’re doi end of the day, i’m doubling urges w w end of the day i think and you just surpassed five hundred columns. I know not you personally. Yes, we’ve done five hundred of them wasn’t just last month, i think, yep, ok. And that’s, you know, it’s been a great opportunity to speak with e, you know, diverse group of people here in the city and to learn about their passions. And i won’t say that it isn’t a challenge. Teo, create that column every day or lose five days a week. It is so you know, i hope your readers, your listeners, have some ideas for me, and they could certainly reach out to me, and we’re going to talk about that. How long have you been doing the column over a year now, okay, i’ve written the majority of that five hundred. Oh, you have, yeah, okay. And your predecessor was surely banjo. Correct, right? Who’s now on the connecticut westchester beat, i think something connecticut westchester, correct. Okay. You sometimes do a mention of the day what’s that about well, said someone who’s ah do gooder on dh it’s for people who have extraordinary passions and do unusual things. So for example, we’ve had a gentleman who ran for three days straight who’s raising money for multiple myeloma cancer research. We’ve had a teenager who, you know, collected a bunch of money through unicef, trick or treat they’re unisex trick or treat program. They had raised the most amount of money of any kids in the country, and that was up in connecticut. Um, these are for, you know, those air areas to talk about people’s philanthropic gifts without them being huge gifts and make for an unusual story and certainly a very charming story. So how do you like to be pitched? Email over phone what’s, your what’s, your preference about being pitched for doner of the day? I get pitches in all kinds of different forms, really off difference. Is there a way people? I’m sure people would rather give it to you in the form that you prefer. Um, actually don’t have a form that i prefer. What i really need to know is that the individual who is to be profiled is comfortable talking about the size of their gift. The quantity of their gift dollar value is always included, right? It’s a critical fact in the story. We are a paper that reports on transactions and these air philanthropy transactions. And so the amount of the gift is critical. Of course, it needs to be in a recent gift, and it needs to be news. Most of the stories that i do, in fact, ninety nine percent of the stories that i do our exclusive. So the story needs to come to us first. People need to be. The donor needs to be compelling. It needs to be someone who’s generous. Someone who deeply cares about what they’re giving to those are the best stories. Okay, do you take into consideration that for some charities ah, twenty five thousand dollar gift or forty thousand dollar gift, maybe very large. These they have to be, of course, gift in the millions. And, well, i mean, i think a twenty five thousand dollar gift to a major university is maybe not is proportionate gift. But to answer the question more broadly know there’s, not a threshold. Okay, it’s, really a question of is that it? Is that a meaningful gift to the organization? Okay, and what would you like to see in the in the pitch? What do you need to know? Initially, tio to determine whether you’d like to go ahead. Well, i need a sense of time if they want to do it tomorrow, then on di doo doo stories that, you know, happen tomorrow. There’s a story that i had to run today that will run on monday and it’s a very quick turnaround, so i don’t need a sense of time certainly need a sense of the amount of the gift, and i need a sense of who the person is. Okay? Oftentimes i’ll get a email where someone will say, well, i have this idea of someone who might want to do something and is usually nine times out of ten doesn’t come to fruition, so needs it pretty to be a pretty solid, okay, let’s, get the incumbent ones that air so kind of vague, right? What about the the idea of follow-up phone calling of some of somebody emails you a pitch and then follows up with a phone call to say, i just wanna make sure you got my email does that? There are some journalists who gets very turned off by that on don’t appreciate the double double contact. How do you feel about that? I tried to be friendly to everyone that calls very thoughtful. Okay. Okay. Okay. Calls a reasonable number of times a reasonable number. Okay. All right. Anything else you want to say about pitching? You know, just reach out to me by e mails at the bottom of every story online. So it should be pretty easy to get me, and they’re very easy to find just google melanie west or melanie grace west correct, g r a y, c and donor of the day and you’ll find many many columns donorsearch day. So since you’ve written the majority of the five hundred, you see some trends, no doubt what what’s what’s, something that you’re seeing happening more often seems my good trends, i think ok, you know, i’m seeing a lot more people acknowledging the need to give locally, um, people who have made their wealth in new york and in the region and who feel it’s their responsibility to support the city. Either they’re they’ve come here, they’ve come from here. There are many of them have been born in brooklyn, but they have a very good awareness that the need is great close to home. That isn’t to suggest that there aren’t a tremendous number. Of people who are giving to their alma mater, zand states away what it is to say that there’s this awareness that there is a need in the city and i think that we can partially thank mayor bloomberg for setting that trend and making that awareness known, especially among his friends and colleagues. Now should we point out that is going back to stories that are appropriate? That needs to be some metrical area connection once you make sure that’s clear well, the donor of the organization needs stay in the area, okay, new york, new jersey and connecticut correct nasco some connection with the charity or the donor, right? Well, the column runs in the greater new york sections, so we’re not reporting on what happened the california but the show’s hyre worldwide, so i just wantto make make sure that people know there’s got to be that new york, new jersey connecticut connection. Okay, aside from local giving, what else? What else you’re seeing it’s great for me again. People i think are choosing not to give anonymously. They’re choosing to set an example. They’re choosing teo, encourage their colleagues as well. I had a gentleman, who’s. A donor a couple months ago, and he gave a two million dollar gift to bridgeport hospital, which is in connecticut. And he said one of the reasons why he gave the gift is because he wanted to make, you know, set the example for for other people and basically, he said, if you know people look at me and say, hey, he could give two million i can do at least that much, um, and in this particular gift, the gentleman’s joel smile oh, ah, he had the cardiac unit named for him. And so i think naming gifts are also, you know, compelling to people. Come, you know, in so few words, he said that effectively, if i could have a named gift for two million prison that many of my neighbors can also have a similar gift. And that’s that’s pretty well known in fund-raising circles that we can get somebody to stand up at a gala let’s, say or identify themselves somehow and say i did it in fact, in board meetings. It’s sometimes used to i did it, and i’m challenging all of you to do it. Sounds like something similar to what? What? That? Gentleman, what jules was doing, joel and then jules kroll he’s a gentleman. Who’s made his his his million’s in global consulting and search of corporate security. Right hey gave a two million dollar gift to john jay college and he again wanted that to be a very public gift to inspire others to give to John jay and 2 other city university established. You know, the college is to grow their fund-raising profile as a place where, yes, you khun give gifts here. There’s another gentleman. I did a story on very recently. His name is henry van amorin. Gin it’s quite well known in the gay, lesbian and bisexual transgender community. He funds a lot of causes, and he gave a million dollars a million dollars to in the life media. And he never gives a name gift. He on lee it’s anonymously and the reason why he gave this gift it to your point is he wanted to inspire others to give. And it was a matching gift or a challenge gift. And do you find that is usually the charity that encourages the person to step out of anonymity? Or is it the donor thinking of it on their own. I don’t think the charity concert i don’t think the charity could be persuasive enough teo, to get someone who would give anonymously to suddenly put their name to it. I think the individual wants to do it, you know? Arika dahna i mean, i could see a charity trying push because they’d like to motivate the same similar gift, and we have just about a minute before a break, you have your seeing something in terms of gift being split up, split gift. Yeah, i think this is a good idea. Trend there. Some donors that i’ve spoken with have decided, especially for college endowments, to give a gift that, you know, may endow a chair but also to give a gift a tte the same time. Two scholarships. So something that could be used in some in the president in something that is a future gift that the university can drawn. Okay, so seeing okay current and then planned gifts or deferred endowment type gif ts corrects here together. Right? Right. Okay. All right. Well, we’ll take it. Melanie west writes the donor of the day column for the wall street journal she’s with us, but she doesn’t only write the donor of the day column. Just yesterday, she had a piece on howard buffett, son of the very well known philanthropist and billionaire what’s what’s happening in the buffet family melanie that you covered yesterday? Well, i had the great opportunity to visit mr buffett on his farm in the middle of illinois beautiful part of the country and ride in his tractor as we work the fields for a little bit. All right already. I have to stop you. I’m sorry, but his his tractor has gps e well, i mean, this isn’t just your regular old puffing plaque smoke tractor, though they did start out with that was a pretty sophisticated piece of equipment, it’s, more like what i would call like a robot, a giant farm robot, but i read gps in a tractor and initially wondered why you need gps isn’t is an attractive, pretty much just up and down the rows. Why is there a gps in attractive it’s harder? Than you think. My over our new yorker is oversimplifying. Don’t you need gps when you travel out of the city? I do. But how far does he think his tractor he’s got quite a bit of land and it actually speeds to process out. So it’s yeah, we got it back and forth, it’s more than just back and forth. There is some technicality to it, and you want to plant a rose straight if you don’t, you’re gonna have a messed up crop. Okay? I just envisioned a lot of turn left. No, no, no, no. It does it on its own. Oh, gods the tractor? Yes. Oh, oh, it sze more than just telling you how to go. Oh, absolutely. No, no, no, it’s. Not that kind of thing. It’s gps operated in the sense where it’s like not off by an inch. Oh, excellent. Okay. All right. That was a digression. Okay? Important one that didn’t come out this in detail. It did not come out in a story with sophistication of his gps. Actually drive. The tractor doesn’t just say turn left. Turn right. And it plots exactly where each seed gets dropped. I mean it’s really? Quite amazing. Okay, okay. So in the last few years, mr buffett has turned his attention to domestic hunger. As you know, his foundation. It’s, about a two hundred twenty five million dollar foundation, has primarily funded work in international developments. Howard buffett correct foundation correct. This’s, the middle son of the billionaire investor. Okay? And he in recent years decided that there was more he could do closer to home. For many years, he has supported things throughout decatur and illinois and nebraska local charities. But he has become more aware that hunger has a different look than what we might think of it. And in rural areas. It’s really quite quite an issue feeding america, the charity that mr buffett has partnered with reports that, you know, the greatest levels of food insecurity in the country are primarily in rural areas, not in urban areas. They’re statistic is fifty five percent. So with this, he looked closer to home, began doing more research he funded with feeding america giant map called i think it’s called bridge the meal gap for the meal gap. And it basically takes a county by county approach of where hunger is. In america, and he funded that project with some other partners based on that, he decided he could do more. And for the last few years, he’s been thinking about a project that would directly get farmers invested in hunger in their community. Now, in rural areas, you have to think about it, you know, who are the who are the leaders in rural areas and is very much the farmers on dh. So if they got together and they work together, how could they raise money to give closer to home? And this was his problem and something that he solved. And so on thursday of this week, he announced a plan in partnership with adm. Archer daniel with daniels midland to create a program where farmers give a portion of their crop to feeding america. Archer daniels midland very big agribusiness, correct company. So what a farmer does is he has nine hundred fifty bushels in a semi tractor trailer. They roll up into archer daniels midland. The company asked, how much of that do you want to give to charity? We can give a bushel. They could give no bushels. They can give a hundred fifty bushels. And what happens is the amount of money for that bushel goes back to the organization, so so we’re not donating. There were some comments to your yeah, that suggested that the raw corn was being donated to food hunger program, yeah, hungry people provoc corn no it’s very bad for the teeth for everybody unless you’re gonna pop it. But it’s not a balanced meal, so the proceeds of the amount that they designate that was in the article. Okay, so but i can’t help it if people didn’t read carefully, it is a confusing idea because i think people think that there’s going to be farmers who are giving food, and that is actually a secondary portion of it which was not covered in the article is he wants to encourage those people, too. If you’re going to give money and you’re going to donate some of the proceeds from your crop, why not within the gardens and lands that you have grow a little food and donate that to the food bank as well? So he in one of his plots of land is actually growing corn for the food bank indicator and he’s gonna, you know at harvest time, roll up with a bunch of sweet corn. And the, um the money is going to be donated to the peach farmers. Local correct local food program say little about that. Right? So feeding america has about has two hundred to food banks in the country. Fifty three of those food banks directly service rural populations. So the gift in what the farmers air donating will benefit those fifty three food banks. So it is staying in their community and that’s very, very compelling for the farmers. That is a key component to getting them to donate stays local. Correct. Not unlike what melanie schnoll begun. My first guy? Yes. I was talking about that there’s. An interest in giving people are interested in giving locally. They want to see local impact on this is called invest in acre co-branded. Okay. And so all of the programme materials should be live now and online. And i believe it’s, invest in acre dot or ge ah it’s being primarily funded and driven by the howard g buffett foundation. Okay. Duitz dahna welcome, this is tony martignetti, the host of tony martignetti non-profit radio big non-profit ideas for the other ninety five percent and as every week, the aptly named host what a coincidence that i found this very show it’s april fool’s april one, two thousand eleven are april fool’s edition this week we’re going to be suffering no fund-raising fools on this april first you may remember first, though, last week i had back office blunders, and i’m looking jeff marston, the president of resource centers for management, explained in back off his blunders how to stop squandering money on your back office costs, and he revealed tricks to save big money on supplies, phone, energy desks and other stuff that your office needs. Also, we revisited the i’m looking recurring feature last week, we checked in with our recruiter, paula marks, and our non-profit job seeker leonora scala paula’s advice last week and a zit has every month that we’ve checked in with them helps not only paula, but you with your help’s not only leonora, but helps you also with your own search, whether that’s going on now or a search for you in the future this week. As i mentioned, no fund-raising fools on this april first day, it’s ask awareness for small shops with amy eisenstein. Amy is the author of fifty asks in fifty weeks. Amy is the author of fifty asks in fifty weeks a guide to better fund-raising for your small development shop and she’s going to be with me for the hour she is the principle of tripoint fund-raising, which you’ll find at tripoint fund-raising dot com before fund-raising consulting. She helped small and large non-profits raise millions of dollars as a director of development, and as i always point out, when this is the case, that’s, the kind of experience we love on the show she’s consultant now, but she has been buy-in the development shop shops in non-profits she’s, a frequent speaker and facilitator at board, retreats she’s, also the past president of the association of fund-raising professionals, the newjersey chapter, and i’m very glad that amy’s book fifty asks and fifty weeks brings her to the studio. Amy welcome, thanks, tony, glad to be here. My pleasures go got to have you. My voice is cracked. Have you sixteen, sixteen years old going on forty nine. Let’s, see so fifty asking fifty weeks when you wrote you wrote a book, so you must have seen a problem or a gap in small and midsize shop fund-raising what was that it’s? True, when i was a one shop development office, one person development office, i should say, i really found that i was elated and in a silo and could get so sidetracked and stuck doing grant reports database management thank you notes, planning events, writing newsletters all the things that have to happen in a one person development shop, but weeks and weeks could go by without actually making and ask. And of course, as a result, i wasn’t raising much money. So i looked at the development shops around me and saw that they were having the same issue, distractions, distractions and other work that’s urgent, but not as important. Not as important as making these solicitations actually making the ask um so in a small shop on dso, we’re talking as your book does too small and midsize shops so sort of how would you define those? Right? I’m talking about shops with one development staff person or up to three, maybe or an executive director who doesn’t have any paid development staff okay, and your book is all about encouraging? Mohr asks specifically fifty and fifty weeks, and i’m not going to ask you about the formulas for fifty what counts? What doesn’t count, but we are going, you know we’ll talk obliquely about things that that relate to getting two, fifty and fifty weeks, but i’m not going to hold you to a formula. So in a in a shop that’s that size who is responsible for fund-raising and what are the responsibilities? Sure, while fund-raising is always a team effort in any size shop and so the executive director needs to be involved, any development staff that hopefully an organization has is involved as well as board members have to be involved in order for the fund-raising to go well, so really everybody has their own piece of the puzzle to dio andi, everybody plays a role and tell me what the other question waas so just what the responsibilities are, but i think we’ll get to that. That and also hoping later, to talk about what happens if you have perhaps an executive director. Who’s not comfortable with fund-raising show so well, i think we’ll dive into that there’s this time. Okay, your book is mostly about individual fund-raising right, but so let’s, just talk about how individual fund-raising fits with other types of fund-raising sure. Well, the premise is that in small shops, often the organization is focused on its fund-raising in the past, on grantwriting and events, and focus really heavily on those types of fund-raising so my book encourages organisations to diversify their funding base and branch out to individual giving, which is a huge component of philanthropic dollars in the non-profit community that they’re not tapping and right, but typically a small startup non-profit begins its fund-raising with what people understand best and actually is probably a little easier in terms of fund-raising and that is the grant writing and research not that grants are easy but can be easier than individual asking on and then also events which i think people feel they have a handle on when they get started. That’s, right, and so it’s challenging non-profits to reach out and really tap individuals, which can be harder and take longer it’s about relationship building but that’s really where the big money is, so they have to get there if they’re going to grow their shop. Okay, so the importance of making this shift from the institutional to the individual, right? Okay. And so why event let’s explore just a little bit, like a minute and a half that we have before the break? Why is event fund-raising not such a stable way of continuing and growing your non-profit to the next level? Yeah, i think that having one or two events per year is a good way of fund-raising and cultivating donors at the same time and getting the word out about your organization. But something small organizations are inundated with events. They have five, six, ten, twelve events per year, and they’re just absolutely draining. The resource is time and energy of their volunteers of their staff, and actually, events are the most expensive way to raise a dollar in fund-raising so having more than one or two is just not efficient are effective, okay? And the return on investment is quite low generally for events correct it’s the lowest return on investment of all other types of fund-raising okay, and when we returned from this break, then amy and i will delve into making that transition to individual giving from the events and institutional giving. Durney durney welcome back to tony martignetti non-profit radio i’m with amy eisenstein, the author of fifty asks and fifty weeks, and while we’re on the break, amy made a point that i might have misstated, you know, sort of overstated the importance of individual giving in an overall development shop, and really, the point is that you should be diversified. So please, amy, expand on that a little bit, right? I just wanted to emphasize the fact that within a small shop, when organizations are so heavily focused on grantwriting and events, they’re not diversified, but the book is about making sure that you have a diverse fund-raising plan all year long that includes grantwriting a few events, individual giving and variety of bulk mail appeals, and so it’s really about diversification and making a solid plan and sticking with it. And so yeah, so i didn’t mean to say that you eliminate grantwriting and events, but you make a transition into individual and of course, keep the other components as well. So thank you, let’s talk about a case statement because i think that’s an important for individuals want to explain what? What that is. Why it’s important? Sure, a case statement is a written document that explains basically why people should give money to your organization and why your organization exists. Why it’s important and makes the case for your for supporting your organization and developing that case, though, could be quite a challenge. I know there’s some non-profits that will maybe do ah ah long term analysis of a strategic planning to help them to build their case statement. It’s not so easy sometimes to right? That is it? Yeah, it’s definitely challenging, and once you’ve written it, what you think is a solid case statement, you should take it out and test tested on the road with several of your most loyal donors have them look at it, read it, react to it, see if it that’s why they’re motivated to give to your organization and see if it really speaks to them and make tweaks and part of developing it, and we’re spending time on because it is so important with your fear individual individual fund-raising as part of developing it, we’ve had guests that have said valuable tohave outside people, you know, aside from your board and your your fundraisers contributing to your case statement. Absolutely, yes, you want community’s perspective and input when you’re developing your case statement so that it has wide appeal, okay? And and sort of flushing out why people, why they give on dh sometimes i think non-profits find that people are giving for reasons that the non-profit itself doesn’t really realize absolutely sometimes you can be too close to an issue, and it takes the outside perspective and people who are actually giving to tell you what mate motivates them to give and that should be reflected in this written document that you’re going to show to prospective new donors. Um, and the case statement is shown sort of in what respect? I mean, how how is how is the tool house that used once you do have it crafted? Finally, how is that used in soliciting gifts from individuals? Right? I think it can be used in a variety of different ways. You can bring it with you, certainly on a first visit or a second visit and with when you’re meeting an individual for the first or second time to tell them about the organization tto learn more about them and what they’re giving interests are why? They might be interested in your organization and let them have it as a take away so that it can re emphasize your conversation and fully explain and writing. Why your organization’s important? But you would never well, i’ll ask it this way. Would you ever just say male or email a case statement to someone in lieu of a meeting? No, i mean, that defeats the purpose of the relationship building component. I mean, i guess there probably are exceptions for an organization that’s fund-raising across the country and perhaps doesn’t have the resources to send staff for board members to visit donors, you know, in other states, yes, you could develop a long distance relationship in those cases, i would mail it, but usually you want represented in person, you know, because you want to be having a conversation with talk about those relationship building steps, but it’s a zoo suggested sort of leave behind, right? Tio personal conversation? Sure. Okay. Um, so, let’s, since we’re talking about those personal interactions, those personal meetings, how do you start, too? Develop the people that you’re going. Teo asked to meet for you. Meet with you. So if you are doing just events and an institutional grant grantwriting how do you start to develop a list of people that you can hopefully talk to her at least start, you know, start to ask to talk to right? Well, there’s four steps in the fund-raising process on the first one is identification identification of new prospects or potential donors, so when you’re starting out an individual giving program, aye, the first thing i have organizations do when they’re trying to do this is look in their database, and hopefully they do have a list of supporters and previous donors, and so looking for two things in that database, one is obvious to most people it’s, their largest donors, although i cautioned them toe look at cumulative giving all that over the course of the year because if you’re looking at one time gif ts you may have somebody who gives multiple times over the course of the year, and even though none of their individual gifts are large once you combine them, obviously they turn out to be a larger donors than some people who donate one time during the year, but also important is to look in your database for loyal donors if you have any longevity or history donorsearch history in your database, safer five or ten years of giving anybody who’s given for more than five years in the last five or six years, even if their donation level is lower, i would consider a high priority of somebody that you want to get to know so that those so your databases one way hope hopefully you have some donordigital records to look at other ways. Of course they’re going to your board members and finding out who they might know who might be interested in getting to know your organization. So so the board’s roll wait, why don’t we start to talk about that? The board’s role in fund-raising you’ve just touched on one important part of it bringing people to the organization absolutely a huge part of the board’s, responsibility and fund-raising is what we say call opening doors and introducing people to the organization boardmember czar, the ambassadors of the organization and there to sort of spread the word tell the community about how wonderful your organization is, really talk it up and introduce people to the executive director and development staff and the organization. In general, that wouldn’t necessarily have those connections if it weren’t for the board members. So if you’re going to make this shift no into individual giving, you need to have bored support, absolutely. And what if? What if you sort of get bored support for the concept? But then when it comes down to asking the board members who do you know who can you bring to the next event? Who can you bring to meet the executive rector there, then reluctant to do it? What do we do? Right? I think it’s a major challenge that lots of organizations face getting the board members bought in and involved and engaged, and so there are a couple of different things to do. Won is a lot of board training and coaching, board retreats and development and talking about it so that people start to feel comfortable with the idea of introducing people to the organization, but also making sure that they understand that this is donor-centric fund-raising and we are not going to be asking people for money who don’t show an interest in the organization it’s really about communicating their passion about the organ ization to their friends. And colleagues and neighbors. And if those people respond positively that they’re also interested in the organization, then we can take it down the road of a potential donation. But it’s not like every but name that they bring to the table is going to get asked for donations. Some people just aren’t going to be interested and that’s okay, so you have to raise that comfort level with your board, and you can do that in the way. As you mentioned. Yeah. Okay. In developing again. We’re talking about identifying the prospects. Can a list of people who have come to your events cannot be a place to start? Absolutely. And we would look at those people who have given they might fall into that category or people who’d come to other events, possibly fundraisers or non fundraisers. And they should definitely be added to the list. Do the records. You alluded a couple times to the donor database. Does it have to be a computer database? Suppose this is a small, really small shop, and they’re not that sophisticated, you know, maybe they have index cards or something like that. I mean, if you worked with that, what? Do we do? Yeah, this day and age, i think that everybody should be computerized at this point, even if it’s microsoft access, which is a perfectly fine database to start with, it does not have to be a fund-raising software database that you paid for that’s, right? And so actually was at a client yesterday, and they have their donordigital basin access and for right now, that’s fine that’s more than adequate for the size organization that they are, but i was concerned and ask them if they’re donorsearch files were in boxes in paper, and i was relieved to hear that it wasn’t and microsoft access which it should be computerized this day and age several weeks ago, on a regular feature that we have where scott koegler he’s, the editor of non-profit technology news, comes on and talked about technology for non-profits and many shows ago several shows ago hey talked about cloud computing and how there are there are companies that have cloudgood based fund-raising software with ad on modules, maybe for events and for finance. Obviously, security is a concern, but i was surprised to hear that the cost of those is quite affordable, even the smallest shop it’s true, actually, lots of those internet based or cloud based. I don’t really know the difference, but software programs they charge by the number of records, and so if you have less than five hundred records or thousand records, they’re very inexpensive and totally affordable. That’s identification. So what? What did you say is the next step after identification is cultivation, innovation and how often or what are what are some steps around cultivation? Now that we’ve got? We’ve identified some people, sure, so cultivation is the relationship building process in between when you’ve identified perspective donors and before, of course, you asked them for money so it’s getting to know the person on dh, educating them about your organization. But the important part about cultivation, i think, is that it’s not one way it’s, not just the organization or a representative from the organization telling the donor prospect all about the organization it’s really asking lots of open ended questions about that perspective potential donor to get to know them, too. So examples of cultivation activities would be going out to coffee, the executive director or development staff or boardmember with that perspective donor xero organization, if that’s appropriate, it would bring be bringing them to an event, whether it’s a fundraising event or ah graduation or something that your organization does on a regular basis. So those air, different types of cultivation activities, i’m with a b eisenstein, and amy is the author of fifty asks in fifty weeks and she’s also the principal of tripoint fund-raising tripoint fund-raising dot com. Amy, a lot of charities have really sort of heartstring missions, and so that if they can bring people in to see the work that they’re doing, i would think that that’s gonna be really valuable. Absolutely, i mean, if you can bring people on a tour that is some of the best ways to cultivate donors to really learn about them, but also have them learn about your organization. So if you’re a school or an environmental organization, or if you have something to show that’s a wonderful way, hospital is a wonderful way to show prospective donors exactly what you d’oh it’s a bit more challenging with other organizations, such as a domestic violence shelter. You wouldn’t have anything to tour because it’s a confidential location and you have to be a little more creative with your cultivation opportunities, but you can definitely do it for all different types of organizations and let’s, talk about the details of this so let’s say you had a willing board. Okay, so on the ah boardmember has identified let’s, say three or four people what’s the process for from getting that person from what we’re called, what you’re calling identification to cultivation, who asked them who invites them to come? And you’ve already identified lots of things you could invite them to, but how’s it actually done sure well, in the ideal scenario, if a boardmember identifies somebody, a friend or a colleague has somebody that they would like to introduce to the organization, you would have that boardmember call and invite them either to coffee with the exec director or the development person or to the event or to a tour. So in the ideal scenario, a boardmember would reach out to their connection and invite them tto learn more about the organization and whatever way, in a less than ideal situation weather when a boardmember perhaps doesn’t know the person you want to cultivate, maybe a donor, a private prior donor to your organization boardmember could still reach out on call or development person or eggs negative director could call and say, you know, we want to thank you for your prior giving, and we’d liketo get to know you a little bit more. Introduced you more to the organization update you what have you on? Bring them in that way. Do you find that let’s say, for this first cultivation meeting that that something group setting is better because it’s less off putting to the person, or is it better to try to meet them individually and get them to get to know them one on one in that first instance, yeah, i think you want to do a combination of activities is probably the most appropriate, and it is going to depend on the individual if they’re willing to meet one on one that’s, a great way to introduce them to the organization. But if they’re more comfortable coming to a group activity that’s perfectly appropriate, too, so so maybe have, ah, couple of things to choose from. I mean, when you’re actually someone’s, actually making the invitation, maybe there’s a couple of things? Yeah, absolutely. I have three or four things on my list in front of board members you know the upcoming events, so one possibility is a tour. One possibility is the next fund-raising event, and one possibility is coffee with the executive director and sort of let them throw them out. What, however, the conversations going and invite them, and then if the person doesn’t want to come tto one they can say, well, how about something else? Andi just didn’t like thirty seconds or so we have before the break. I suppose i don’t want to come to anything supposed, the person says no, do we ignore them from now on? Or is there some other way we can still try? Yeah, i think definitely putting them on your mailing list so that they start to receive hopefully newsletters or emails about upcoming events, your annual report, those type of things and then trying again and six months or so they may have changed their mind, maybe their schedule was busy or whatever the case may be, i would give it a few more tries before stopping completely. It’s time for this week’s edition of tony’s take two my block post is called six tips to mastering your fund-raising relationships, my block is that m p g a d v dot com, and i want to touch on just three of them. Last week, i talked about three talk about three others quickly today, and you can always read mohr at the at the at the blogged getting out of the office if you’re talking about fund-raising relationships and my guest today, amy has made this point. If you’re too distracted by administrative tasks or sometimes volunteer, you know, sort of committee work, then you need to do what you can’t extricate yourself. Delegate, plead with your boss, stop volunteering, maybe so that you can spend more time out of the office, actually developing relationships that lead to the types of activities that amy and i are going to be talking about solicitation and then stewardship so spend time out of the office if your if your job is fund-raising you should be out of the office, i think more than half the time and there are a lot of people who think, you know, seventy five percent of the time you should be on the road, meeting people where they work, where they live, where they play to build those relationships, make introductions i love to see, and i always encouraging clients to use the non-profit thatyou’re fund-raising for as a leverage to bring people in and and connect them. So in events are you introducing donors to other donors and they don’t necessarily have to be in the same same profession? I guess they could be that there could be synergy there, but they don’t necessarily have to be they both people because they’re at your event love your work, so get them talking about your work. Are you introducing not only donors to donors but prospects to donors? Who better to tell the story of the great work that you’re doing? Then somebody was already supporting it? And who better to encourage additional people to do that? So be willing to make those introductions use the organization as the connection point and you’re the connector on dh. The third one i’ll talk about is just, you know, be good to people, if this is fund-raising relationship building, people like to be treated with respect and, you know, i blogged about and talked about a few weeks ago multitasking when you’re on the phone and how off putting that can be and how insincere it comes across on the phone, you want to avoid things like that, and i think basically just treat people the way you’d like to be treated, and that will help you in building sincere, honest relationships. And of course, we all know that, you know, people give to charities they love that are represented by people who they like, and they’re more likely to like you if they feel that you have ah, that’s sort of a sincere, honest relationship with them. So the blood and the block post is six tips to mastering your fund-raising relationships. And the other thing i wanted to mention is just that a style consultant image consultant friend ofmine dubbed me a profile in awesomeness, and you could see a video about that on my block. The post there is called i’m a profile in what that is tony’s take two for friday, april first and with me waiting patiently. As i talked a little longer than i usually do for tony’s, take two is amy eisenstein, the author of fifty asks in fifty weeks and principle of tripoint fund-raising amy, welcome back from that verbose break. Thank you, tony. Amy was able to go to the bathroom, go get coffee, came back with some danish lunch for the whole office in the time that i was talking to tony stick too. So we left before the break, talking about those starting to think about direct mail and and book solicitations. So what? What what advice do you have around thinking about using direct mail? Okay, so i’m going to get to that in a minute, but i just want to go back for one second to something you just mentioned in tony’s take too, and that is about being out of the office fifty or seventy percent of the time. So i think that that is accurate and appropriate, where you might have a major gifts officer or somebody who’s working on individual solicitations full time now, in my book, we’re talking two small development shop people who are doing everything they’re doing the grantwriting the event planning the newsletter, writing and all everything in between and so they’re going to have a much smaller portfolio of individual donors. So they do need to be out of the office asking a fair amount. But they are going to be in the office more than perhaps someone who’s asking for individual gifts as their full time job. Okay, excellent. Thank you for keeping that in context. And also, teo, to keep things in context, we want to be sure that people understand that your book is about not at campaign consultant, not campaign fund-raising or major gift fund-raising but it’s more about building the your initial list or your annual fund list. That’s, right? And so right. I just wanted to clarify thank you. Clarify the point that this individual asking that were encouraging people to do is really about increasing and enhancing your annual fund. It’s not about going out and getting major gifts or campaign gifts for the first time. You’re trying this stuff, so it might be a five hundred dollar donation or five thousand dollars donation towards your annual fund and that’s perfectly good to dio with individual asking. Yeah, yeah. And of course, the definition. Of a major gift varies by organization, but if we’re talking to a small shop oppcoll a sze yu said yu know fifty or even five hundred? Maybe even fifty dollars might be a sizable gift when it’s the first one that the individual has made right. And yes, we’re keeping things in context here and amy’s keeping my feet to the fire, keeping me honest, okay, so let’s talk so let’s talk about using direct mail or the book you call them book solicitations, right? Bulk solicitation, so by that i mean both traditional male as well as email. So i just think it’s important for small shop organizations to be continuously in contact with their supporters, their donors, their list via email and traditional male, and have unorganized calendar at the beginning of each year of when they’re going to be sending out email solicitations and when they’re going to be sending out mail solicitations and not just have it randomly happened when you happen to get to it but have a planned out schedule in advance on dh with the price of mail and email these days. There’s really no excuse for non-profits don’t not to be. Emailing their donors it’s so cost effective, but also it’s critically important to continually have some sort of system of mail solicitations as well traditional mail solicitations. Okay? And actually next week’s guest is going to talk about email marketing and best principles in the practices and email marketing. So now we’ve moved from we’re moving now from cultivation to solicitation, the next step in the fourth step process, right with individuals? How do you write that letter? Let’s get started, we’ll have lots of questions for you, but how do you write the letter that asks for support? Okay, so we’re talking about bulk mail, so you’re talking about a letter, but if you’re doing the individual solicitation, you’re going to do it face to face, so we’re going to talk about two different things bulk mail, letter? Absolutely. I hope most non-profits have their end of the year campaign, and that would come as a mail solicitation and so having a well written letter, obviously from very basic things like no grammatical errors, no spelling errors, but really, that tells the story of your organisation, what you accomplished that that year and some success stories, individuals, success stories. Even more importantly than all the statistics of your organisation, but talk about that one individual whose life you really impacted, so that goes a long way. Okay, do you have ah, is there a rule? Or do you have a rule about the length of the solicitation and what should be in the in the mail? And again we’ll get we’ll get to the individual face-to-face too, but showing his book male what do your tips about length and inserts and things like that? Yeah, i think opinion varies on length of letter, you know, i’ve heard everything from one to two to four pages i think is good strong one, two, two page letter is my personal preference, and you absolutely need to include a business reply envelope, something for people to send back their donation in s o that’s critical, don’t send the letter without a reply envelope, because the donations just won’t come back and and so we’re talking about the traditional male but also email it’s important teo email, solicit your donors and as well. Of course, more and more people are giving online these days, so you need to have a link that brings them to a place where they can donate right online with a credit card and there’s so many affordable options these days to donate with credit cards online. There’s no excuse for a non-profit not to have the ability to have people donate to them online with a credit card. How would we go about getting those email addresses since this is our this is our initial foray into individual giving? Where do we get that from? Yeah, i think start building your list by asking your current list in the mail for their e mail addresses. You’ll get a few that way asking for board members to start collecting email addresses of friends and family that want to receive your emails collecting them every time you do an event or an outreach or give a tour. Of course, you can only solicit by email or send e mails to people who willingly opt into your list so you don’t want to be sending e mails or spamming toe anybody that doesn’t opt in to your list, but collecting them that way, just like you would collect traditional emails, are addresses and add them to your database. Okay, who should? The letter or the e mail come from that’s. An excellent question. I think that you can change it up. Ideally a volunteer. So from a boardmember you’re bored president or the fund-raising chair, but it can. Some of them can come from the executive director, but mostly volunteer. You’d rather see a volunteer someone who’s already supporting in a different way. Absolutely. Okay, let’s, talk a little about the face-to-face solicitation. Ah, now, i know you have a lot of ideas about that in the book. What were your thoughts initially about that kind of meeting? Yeah, i think you know, when people talk about not wanting to fund-raising especially boardmember zor volunteers, this is actually the part of fund-raising that they think of as all fund-raising it’s, the ask and it’s only a ce, you know, one moment in time, one meeting as a compared to the whole fund-raising process. And so we need need to really break it down and simplify it for board members and volunteers who are going to be helping with this. But basically, it should be done in a face-to-face setting, not over a meal, preferably as many people newbies make the mistake. Of wanting to go to a restaurant because they think it’s great to go to lunch, but it really is challenging when the waiter interrupts or you’re trying to chew or eat or decide whatever the restaurant can be loud and their comm in the, you know, hearing issues, so it’s also it’s a public place and you might be talking about you’re going to be talking about, which will get two dollars in dollars and cents, right? So a meeting in the home or office of the person that you’re asking if if they’re willing to that’s where they’re most at ease, but otherwise in the organization’s office, or maybe at the board member’s office, where everybody feels comfortable, sort of neutral territory and set up that meeting to have a conversation about asking them, inviting them to support the annual fund and hopefully a boardmember will be with you explaining that they already supported the annual fund. We’re talking about small and midsize shop fund-raising with amy eisenstein, the author of fifty asks and fifty weeks and amy before the break, we were talking about that individual solicitation meeting. Um, who should be in that meeting? Yeah, ideally, it should be a boardmember and the executive director that’s the ideal scenario for an individual meeting. But whoever has the best relationship with the person you’re going to be asking for money needs to be there on dh two is the right number it’s easier to have a conversation with three people than it is just one on one and that way? Also, somebody from the organization can be listening and asking good questions while two people dialogue okay on dh. So aside from the board, members should be the executive director or the fundraiser. Ideally, it should be the executive director. The executive director is the visionary of the organization and the face of the organization, and if you’re asking someone for a substantial donation at whatever level, they will want to be hearing from the executive director, if the executive director either isn’t available or is unwilling or is not the person the relationship has been built with then it can be a fund-raising staff person. What do you think about rehearsing this meeting beforehand? Yeah, i think rehearsal is really important. We do role playing with clients all the time before they get ready to go for an ask board members definitely need to be coached and practice with role playing and no who’s going to be doing which part of the meeting the meeting needs to be introduced and the ask needs to be made and you need to know in advance, who’s going to be doing what? Okay, so you’re not stepping on each other and looking sort of amateurish, right? Okay, plus, do you find the rehearsal? Just reduces people’s anxiety about it or doesn’t make the more anxious but it’s still necessary to do. Yeah, i think for the most part, it relieves anxiety because they know what to expect. Some people are just going to be nervous, no matter what you d’oh. But after one or two asks, go well, then they’re not nervous anymore than it’s fun. Excellent. And it ought to be mean, right? Because we’re trying to get support for a mission that we all love that’s, right? It should be fun. You make a very important point in the book about after the actual ask is made. So a person who’s asked for a dollar amount or arrange what’s what’s your point there that you’re very precise about in the book. Yeah, after the ask is out on the table, the askar is need to be quiet, i assume that’s what you’re referring neo-sage once you ask say, i’m asking, will you please consider joining me? Dahna in supporting the after school program in the range of two thousand dollars that’s the ask? Then you have to be quiet. The person that speaks first, as we say, loses, and so if you speak first, you’re likely to backpedal and say, oh, i know that’s a lot of money during the period when the donor is thinking about what they were just asked to do. The oscars need to be quiet because i’m sorry i dropped your brothers want make sure people are saying this is the hesitation period and what might i had asked her do if if they if they do blurt something out, right, right, they’re likely to back pedal, so you’re right after you ask, you need to be quiet no matter how long it takes for the person you’ve just asked to respond, whether it takes ten seconds or so five minutes, they need to think about it, process it, and you need to be ready to listen to whatever they have to say. Whether it’s yes, no, or maybe we’re going to assume that you’re asked goes well, and the person gives in the range that they were. They were just solicited because i want to spend a few minutes thinking about the next steps stewardship saying that important thank you, what’s your advice there, let’s, say it’s now that we’ve just left the meeting what’s our what’s our what? How do we start stewardship right after the meeting ends in success? Sure. Well, of course you’ve thanked the donor right before you’ve left them for the meeting. But then you go back to the office and you craft thank you note and maybe you have a draft of one written advance, but the thank you note should go out soon after the meeting. They probably haven’t handed you a check in most cases. So it’s thank for the thank you for the meeting, and we’re excited that you’re, you know, committed to supporting this activity or project or whatever, and we look forward to talking to against soon or whatever the case may be. Or you can give even details about the gift that they’ve just promised to make. And then, of course, another thank you needs to go out after the gift comes in, but thank you can be done in many ways, in person, by phone and e mail all sorts of ways by multiple people. Okay, so not just the boardmember who invited the person or not? Just the ceo, but multiple multiple thank you’s from different people. Sure, especially if there were two people at the meeting there should be. Thanks. You know, a written formal. Thank you from the organization can come from the boardmember or the executive director and the other one can call and thank or send an email. Sure. Okay. And how about after that? Now the gift has been received. We wantto cultivating the person. Probably for their next gift. Whenever that might be. We’re not everything about the timing of that. But just so how do we continue? Stewardship so that we can lead into cultivation again cultivation in seoul station again? Sure, you know, clearly you want to be inviting them to other cultivation of events, but in terms of thanking the person in six months or a year, whenever is appropriate, you want to write to them, thanked them again, and let them know what their money has done for the organization and that’s, a really critical piece that lots of organizations either forget or missed and that’s letting the donor know how important their gift was to your organization after it’s been used. Okay, what the actual outcome was in terms of maybe telling a story about the person who had helped. I mean, in that kind of detail, absolutely. If you can do that, or say what the organization’s been able to accomplish with their donation and others, you know, many times their donation hasn’t funded the whole program, our project, but thank them for their donation and the part that it played in making your organization a success this year. I also like the idea of remembering the gift anniversary, the one year point from the time that the person made the gift. What do you think about that? Yeah, i think that’s a great time, except for that you may be at that point ready to ask them for their next gift, so maybe six or eight months in, you want to thank them for their gift again and let them know how it’s going or what it’s being used for, and so that at that year point, you’re ready to ask for the next gift.
